Job Description Summary
Provides administrative and logistical support for programs, projects, and events on behalf of the two Knight Chairs at the School of Communication and provides administrative and logistical support for externally funded school-wide events (Women who Communicate, Communication Literacy, Civility in Dialogue, etc).
Works closely with the Knight Chair in Infographics and Data Visualization and the Knight Chair in Interactive Media as well as with the Dean.
Duties and Responsibilities :
- Coordinates planning and logistics for School-wide events and activities that are externally funded including reservations, purchasing, reimbursements, and liaising with school staff.
- Serves as host to guests and coordinates guest visits, including but not limited to guest speakers.
- Coordinates meetings for Knight Chairs and for Externally Funded School-wide Events with faculty, students, and community stakeholders.
- Assists in the preparation of travel arrangements for Knight Chairs. Ensures compliance with applicable University policies and procedures.
- Assists in the reporting of external funding opportunities.
- Assists with annual Knight Foundation report.
- Processes purchasing requests, expense reports, purchasing card and travel card reconciliations, and interdepartmental transactions.
- Monitors budgets in conjunction with the business office and performs other financial responsibilities (processing reimbursements, creating purchase orders, reconciling accounts, etc.).
- Works closely with the School of Communication Business Office to ensure compliance with policies and procedures.
- Other duties as assigned.
Minimum Qualifications :
- High school diploma; some college preferred.
- Minimum one year of relevant work experience required; three to five years of progressive experience preferred.
- Event planning experience.
- Education and / or experience in event planning, accounting, business, and related fields of work / study preferred.
- Understanding of basic accounting principles.
- Proficiency with Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Equivalent combinations of education / experience will be considered.
