ASSA ABLOY Opening Solutions Americas is seeking a highly organized and detail-oriented Office Manager to support the C-Suite team.

The ideal candidate will possess advanced skills in Excel and PowerPoint, enabling them to handle some data analysis, reporting, and presentations.

This role requires excellent communication abilities, a proactive approach, and the ability to manage multiple tasks efficiently.

We are looking for an extremely trustworthy person, who understands how to handle sensitive information appropriately and with discretion.

This role will interact with many internal and external stakeholders and requires an engaging and courteous approach.

What you will be doing

The Office Manager will provide critical support to our C-Suite Executive team, acting as a gatekeeper and ensuring operations run smoothly.

Responsibilities include :

  • Providing comprehensive administrative support to the team, including scheduling meetings, managing calendars, booking meeting space, and organizing travel arrangements.
  • Utilizing Excel skills to create and manage spreadsheets, perform data analysis, generate reports, and automate tasks using macros and VBA.
  • Proficiency in designing and preparing high-quality presentations using advanced PowerPoint features, ensuring that content is clear, concise, and visually appealing.
  • Organizing and coordinatingmeetings, including preparing agendas, taking minutes, and following up on action items.
  • Assisting with various projects, providing administrative support and ensuring deadlines are met.
  • Assisting in maintaining office supplies and equipment, ensuring the office environment is organized and efficient.

We are looking for an extremely trustworthy person, who understands how to handle sensitive information appropriately and with discretion.

This role will interact with many internal and external stakeholders and requires an engaging and courteous approach. Additionally, advanced proficiency with MS Office skills will be required.

This is a full-time onsite position located in New Haven, CT.

What we are looking for

Our ideal candidate will have at least 7-10 years’ experience in an executive administrative role, preferably with a focus on data analysis and presentations.

In addition, you will need to be able to work autonomously and independently, using a proactive approach to anticipate needs and identify potential issues before they occur.

Other requirements include :

  • Advanced proficiency in Microsoft Excel (pivot tables, VLOOKUP, macros, VBA, data visualization).
  • Advanced proficiency in Microsoft PowerPoint (design templates, animations, multimedia integration).
  • Familiarity with other Microsoft Office Suite applications (Word, Outlook).
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • High level of accuracy and attention to detail.
  • Strong problem-solving abilities and a proactive approach to challenges.
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Excellent interpersonal skills, with the ability to work effectively both independently and as part of a team.
