Position Overview
A Facilities Supervisor is responsible for on-site supervision and administration of all Recreation Services facilities.
Supervision will include multiple activities that can occur simultaneously. A Facilities Supervisor works in collaboration with Facility Assistants, Facilities Program(s), Associate Director-Facilities, Assistant Director of Facilities, and all other program directors within KU Recreation Services.
Their Direct Supervisor is the Assistant Director of Facilities but for everyday issues and scheduling they report to their assigned Program Manager.
A Facilities Supervisor assists in providing the University population with safe, efficient, and enjoyable recreational facilities during their hours of operation.
Facility Supervisors are liaisons who lead and guide participants and student employees through / with the policies and procedures of KU Recreation Services, with an emphasis on facility customer service and participant safety.
Job Description
Operations (40%)
- Complete all duties assigned by Facility Supervisors, Facility Program Manager and KU Recreation Services administrative staff.
- Maintain effective and appropriate communication with participants, guests, co-workers, and administration.
- Cover / Trade shifts for co-workers when needed and when able.
- Greet participants / members in a positive manner upon entering the Ambler Student Recreation Fitness Center
- Maintain a high level of integrity and consistency when making decisions, actions, and enforcement of policies and procedures
- Attend all scheduled meetings and shifts on time, while being ready to learn while at work.
- Act with personal responsibility.
- Implement risk management procedures and protocols when necessary.
- Enforce departmental policies and procedures
- Maintain clean working areas, including the Welcome Center, equipment check-out, laundry room, restrooms, lobby and foyers of the ASRFC (dusting, cleaning, and sanitizing windows, ledges, counters, tables, and equipment)
- Booking Racquetball or Squash courts reservations.
Welcome Center Duties (20%)
- Create a welcoming environment to all members and guests.
- Provide a high-quality member service experience.
- Enforce access policies to confirm an active membership by scanning of KUIDs, ASRFC membership IDs, Fusion Access barcodes, or manually looking up a member.
- Disseminate KU Recreation Services marketing materials while assisting participants with general facility information.
- Answer phone calls and providing accurate KU Recreation Services information
- Operating and maintaining washing machines and dryers.
- Folding and maintaining laundry.
Equipment Check-Out Duties (20%)
- Provide a high-quality member service experience.
- Assist members with check out and check in of equipment and informing them of our policies when checking out equipment.
- Collecting and documenting broken equipment for follow up.
Membership Services (20%)
- Ability to learn KU Recreation Services point of sale software to include, but not limited to, member profiles, guest passes, membership sales, locker sales, programming sales, etc
- Collection and distribution of incoming mail and packages
- Ability to screen phone calls to appropriate professional staff within KU Recreation Services
- Responsible for the opening and closing procedures of the Administrative Office as necessary
- Ability to manage potential facility access issues
- Willingness to assist KU Professional staff with various projects and tasks
- Ability to learn KU Parking Office software to distribute temporary parking passes for Ambler access
Required Qualifications
- Exhibit good oral communication skills
- Flexible work Schedule
- During the semester term of the appointment, the student hourly must be enrolled in no fewer than 6 credit hours. For summer periods the student hourly must : 1) have been enrolled in no less than 6 hours in the past spring semester or 2) be pre-enrolled in upcoming fall semester in no less than 6 hours or 3) be enrolled in summer session or 4) be admitted to study in the upcoming fall semester.
Student Hourlies may be undergraduate or graduate students. (Exceptions granted for GRA / GTA / GA appointments DO NOT apply to Student Hourly appointments)
Preferred Qualifications
- Demonstrated customer service experience
- Proven ability to multitask
- CPR / AED certification
