We are seeking an experienced and reliable Executive Assistant to provide high-level administrative support to our executive team.
The Executive Assistant will play a crucial role in ensuring a smooth operation of the executive office; handling a wide range of administrative and executive support tasks.
YOUR ROLE AND RESPONSIBILITIES
- Manage senior executive calendars, including scheduling appointments, meetings, and conference calls. Anticipate scheduling conflicts and proactively resolve them.
- Serve as the primary point of contact, including screening and prioritizing incoming communications (e.g. emails, phone calls, mail).
Draft and prepare correspondence.
- Coordinate travel arrangements for executives, including flights, hotel, transportation, and itinerary planning.
- Provide general administrative support, including managing expense reports, processing invoices, and maintaining filing systems.
- Handle confidential information with discretion and professionalism.
- Coordinate and schedule Directors', Department Head, and various other meetings. Prepare meeting agendas, materials, and presentations.
Attend meetings as requested, take minutes, and follow up on action items.
- Organize and prepare presentations, reports, and other communications.
- Coordinate the Balance Score Card (BSC) program and facilitate reporting.
- Assist C-Suite leaders with facilitating insurance cards to employees for owned and non-owned vehicles.
- Assist C-Suite leaders to maintain an accurate filing system of business partner certificates of insurance.
- Participate in diverse projects.
- Facilitate notary, courier deliveries and international deliveries for the Americas Management Team (AMT)
HOW TO SUCCEED
- Bachelor’s degree preferred.
- Must possess a minimum of 5-7 years’ work experience as an Executive Assistant supporting C-level executives.
- Demonstrates intermediate proficiency in Microsoft Word, Excel, and PowerPoint.
- Ability to work independently and collaboratively in a fast-paced environment.
- Demonstrates excellent organizational and time management skills.
- Must possess strong attention to detail skills and a high level of accuracy.
- Ability to maintain confidentiality with discretion.
