This grant-funded position is responsible for the coordination and logistics of the AUC Art History + Curatorial Studies Collective undergraduates and Early College Program and their implementation across the campuses of Clark Atlanta University, Morehouse College and Spelman College.

This position will have particular responsibility to coordinate program activities, awareness and communications at Clark Atlanta University and Morehouse College, in addition to required on-site work at Spelman College.

Essential Duties and Responsibilities

  • Serves as the liaison with the AUC Colleges, units and faculty to ensure success of AUC Collective.
  • Serves as primary contact for the AUC Working Group of internal colleagues, scheduling meetings and taking and distributing meeting minutes and action items.
  • Identifies on-campus organizations (i.e., student clubs) at Clark Atlanta University, Morehouse College and Spelman College to support the program and awareness of the academic offerings within art history and curatorial studies.
  • Maintains a database of all (internal) program contacts, across the three campuses and clarifies their role as it relates to the program.
  • Assists with student recruitment.
  • Coordinates registration across the AUC in collaboration with the Director, Department Chairs and faculty.
  • Assists students with enrollment, advising and curricular issues.
  • Supports the academic functions of the AUC Collective through coordination with the Director, Associate Director and faculty.
  • Coordinates materials related to the AUC Collective’s programs and ensures that AUC departments and institutions (such as campus museums) have access to program materials and information.
  • Creates and maintains spreadsheets and related documents for student information and course scheduling as needed.
  • Serves as primary liaison for AUC graduate and career fairs, collaborating with the Associate Director and Director as needed to ensure fairs address art history and curatorial studies student needs.

Program Coordination & Student Support

  • Requests and maintains archive of course syllabi each semester in collaboration with the Program Coordinator, AVC.
  • Supports AUC Collective communications and assembles professional-quality electronic and hard copy materials, including web materials, brochures and posters.
  • Initiates and maintains a register of student, staff and faculty events, publications and notable activities for the program website or other uses as needed.
  • Collaborates with the Director and Associate Director ensuring that all program events and initiatives are on the (digital) calendar.
  • Actively contributes to the program’s offerings in the areas of professional development and marketing initiatives.
  • Supports in the administration of internships and scholarships as needed.
  • Coordinates all catering orders and space-reservation needs for program events in collaboration with the Associate Director.
  • Collaborates with students on student-led initiatives such as an Art History club, Curatorial Studies student exhibition or other activities as shared and requested by students.
  • Researches and recommends complementary organizations or partners to elevate the program’s visibility, especially organizations that can serve as feeders to the Early College Program.
  • Provides individual student support on an ongoing basis including current undergraduates and prospective high school students.
  • Assists the Associate Director with budget-related tasks as needed including the establishment of new vendors, request of vendor quotes, processing of guest speaker payments.
  • Assists with marketing the program to the AUC, Atlanta-area high schools, colleges and universities, and colleges and universities nationwide.

Director Support

  • Updates the Director’s calendar as needed and as it directly relates to program initiatives.
  • Coordinates weekly team meeting and organizes the weekly agenda, following up on agenda items as needed.
  • Assists the Director, Associate Director and faculty with administrative tasks and programmatic activities.
  • Works with the Director in program-related expense reimbursements and ensures timely submission of all receipts.

Early College Program Support

  • Serves as Program Coordinator for the Early College Program and provides administrative support in collaboration with the Instructor and Associate Director.
  • Maintains a registry of all Early College Program attendees and maintains communication as needed to support the bridge to the AUC.
  • Coordinates program marketing mailings (digital and physical) to high schools as needed.
  • Provides administrative oversight of the annual online application process and provides applicant and application support as needed during the application cycle.

Required Qualifications

Bachelor’s degree and a minimum of three years of job-related experience. The incumbent should be capable of working effectively in a college setting and with diverse communities.

This position requires strong customer service focus and excellent time management skills. The display of professional demeanor with the ability to interface with internal and external customers at all levels with diplomacy and tact is essential.

Must possess excellent organizational and time management skills. The ability to work effectively under pressure, be proactive, demonstrate initiative, and promote teamwork are key assets in this role.

Must be detail-oriented and able to handle multiple tasks simultaneously.

Excellent oral communication skills are required when providing information and responding to questions from students, parents, employees, and the general public in one-on-one or group situations.

Excellent writing skills and proofreading are critical to success in this position. Must be able to read, analyze, and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals.

Good proofreading skills are essential.

To perform this job successfully, an individual must have the ability to perform intermediate skills using the Microsoft Office Suite (Word, Excel, and PowerPoint), some duties may require advanced level computer and database management skills.

In addition to producing formal business correspondence, memos, and e-mails, duties may involve assignments that require creating mail merges, flyers, brochures, PowerPoint presentations, spreadsheets using formulas and pivot tables.

The individual must possess the ability to conduct comprehensive internet searches. May require use of social media.

Preferred Qualifications

M.A. in Arts Administration or related field preferred.

Physical Demands

While performing the duties of this job, the employee is regularly required to sit, stand, walk, use hands to handle office supplies, operate computer and other office equipment, talk, and hear.

The employee frequently is required to reach with hands and arms. The employee is occasionally required to stoop or climb, lift and / or move up to 15 pounds.

Specific vision abilities required by this job include the ability to adjust focus.
