Lead Event Coordinator I
PHP Agency, LLC PHP, is seeking an Event Coordinator I to join our Dallas-based HQ team.
PHP is a national life insurance field marketing organization ( FMO ) founded in 2009 by visionary entrepreneur Patrick Bet-David.
PHP partners with leading insurance and annuity carriers to offer a comprehensive basket of insurance products to a diverse client base in the middle-class market.
PHP provides a part-time or full-time opportunity to individuals in this market wishing to pursue careers as life insurance agents.
PHP passionately serves our diverse middle-class consumer clients through a field sales force of nearly 30,000 licensed agents.
PHP headquarters offices are in Addison, Texas (Dallas metroplex).
We are seeking a goal oriented, self-directed individual who is constantly striving to exceed expectations with an enthusiastic attitude.
Reporting directly to the Director of Events , this position serves as a key member in the Marketing & Events department.
This position organizes and coordinates internal and external relations efforts; and oversees special projects for headquarters as well as multiple small and large meetings and events.
The Event Coordinator I must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven and community oriented.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
The Event Coordinator I must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Essential / Primary Responsibilities :
- Coordinate with recognition team to source and organize event recognition
- Develop, execute, and maintain employee recognition programs
- Oversee onsite meeting preparation, supplies ordering and packing / shipping of event materials
- Coordinate travel, lodging and expenses for participants traveling to meetings
- Project manage deliverables with all team members to help ensure deadlines are met
- Send and track correspondence with speakers and sponsors / exhibitors
- Work on multiple national meetings, both small and large-scale conferences and events simultaneously
- Assists the team with daily administrative duties and completes a broad variety of administrative tasks that include meeting and event project planner (Monday)
- Supporting the process of team expense reporting
- Composing and preparing correspondence; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
- Answer, screen, and direct incoming calls and emails, handling issues appropriately and relaying messages
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the ability to effectively lead the company.
- Prioritizes conflicting needs; handles matter expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Performs other duties as assigned
- Must work in-office, not a remote position
- Must be able to travel domestic and internationally; job duties entail up to 20% of travel
- Participate in monthly book of the month as part of individual development / KPIs
Qualifications & Experience :
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Three to Five years providing support or coordinating meetings and events
- Certified Meeting Planner (CMP) a plus, but not required
Skills & Abilities :
- Strong interpersonal skills and the ability to build relationships
- Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
- Ability to learn new software, project management tools like Monday.com, event registration software, internal company CRM systems.
- Ability to conduct research and present data in a succinct and well-written manner.
- Ability to work independently and with professional discretion.
- Excellent writing, editing, grammatical, organizational, and research skills.
- Ability to work with a broad range of people
- Knowledge of other languages and international customs is an asset; knowledge of Spanish is helpful.
- Excellent time-management, and problem-solving skills.
- Strong selling / negotiation skills
