Position Title : Administrative Assistant to the Vice President for Enrollment Management
Reporting to : Vice President for Enrollment Management

Position Summary : As an administrative assistant to the Vice President for Enrollment Management, the individual will play a crucial role in supporting the VP and ensuring the efficient and effective operation of the enrollment management division.
This position requires excellent organizational and communication skills, attention to detail, and the ability to handle sensitive information with confidentiality.
The assistant supports other activities in the Enrollment division, including Undergraduate Admissions, Graduate Admissions, Athletics, Financial Aid and Enrollment Management Operations offices.
Responsibilities :
Schedules and manages the Vice President for Enrollment Management’s calendar, including prioritizing and resolving related conflicts and competing demands.
Ensures that the Vice President is cognizant of meeting ending and beginning times.
- Assists in preparing reports to be distributed to senior-level management, including but not limited to budgets, payroll, PTO, and other unit matters
- Point of contact for the Welcome Center, welcoming guests and acting as backup to the main college phone line.
- Coordinates, plans, and organizes small-to-large-scale meetings
- Completes purchase requisitions, requests for payment, etc.
- Works with directors of offices within the enrollment management division to track each office’s budget
- Monitors and orders office supplies
- Become familiar with Slate and provide support to Enrollment Management Operations as advised by the Vice President
- Performs other duties as required and / or assigned.
Qualifications :
- Proven ability to handle confidential information with discretion and good judgment
- Mathematical aptitude and interest in finance / accounting
- High level of attention to detail
- Analytical skills
- Expert-level written and verbal communication skills as well as strong interpersonal communication skills
- Strong computer skills; willingness to learn and adapt to new software / technology
- Able to prioritize and complete tasks and proven ability to meet deadlines
- Adaptable to change; able to work independently and with a team
- Proactive in approaching problem-solving and presenting possible solutions
- Ability to understand and interpret policies and procedures as well as apply them with consistency
- Highly competent in customer / client service
- Ability to multitask and work professionally under pressure
- Proficient in working with spreadsheets and other productivity tools
Education :
- Two years of college or an Associate’s degree is required. Bachelor’s degree preferred.
- Experience working in a higher-education setting is preferred.
- Minimum of 3 years working in an office / administration environment
Knowledge / Skills / Abilities :
- Excellent communication skills, including grammar, spelling and proofreading, organization, and time management skills
- Computer skills and proficiency in Microsoft Office Suite and Google Suite, and knowledge of or ability to learn Ellucian Colleague and Slate systems
- Maintains professionalism and confidentially at all times
- Works independently / under pressure and be able to multi-task
Special Work Schedule Requirements :
- Full-time work hours are Monday through Friday, 8 : 30 to 4 : 30 , with occasional support on evenings and weekends.
- Some flexibility in hours and limited remote work may be possible.
Benefits :
Full-time employees are eligible to receive medical, dental, and vision benefits. Full-time employees can earn between 18-23 paid time off a year.
The employer covers tuition remission after 90 days of employment and covers 100 % (employees responsible for books and technology fees).
The college is committed to work-life balance and has a summer schedule from June through August. We currently have 14 paid holidays, including a winter break.
