SCOPE :
The Mortgage Closing Manager is responsible for directing and overseeing the efforts of the loan closing team to ensure loans are closed according to the established policies and procedures. This position will hire, train, and lead the Mortgage Loan Closing and Title Specialist teams, which include evaluating files for accuracy, completion and compliance with all state and federal regulations and policies as well as secondary market and in-house product and program guidelines. Additional responsibilities include analyzing relevant title issues and coaching team as needed with resolution options. As a key member of the leadership team, the Mortgage Closing Manager will act as an expert in all matters pertaining to closing operations and will collaborate with Management to promote a positive employee and customer experience by examining and implementing new closing processes / procedures as required, to ensure professional and timely transactions.
A successful Closing Manager must be organized, highly detailed oriented, and possess excellent time management skills to meet critical deadlines in a fast-paced work environment. This position will assist with ensuring operations are efficient and effective by working closely and directly communicating with lenders, borrowers, realtors, attorneys, third party vendors, and operational staff. The ability to effectively communicate with others and provide a high-level of customer service is required. A s part of the overall bank team, the Mortgage Closing Manager is expected to help with department projects.
ACCOUNTABILITIES :
Supervisory Duties and Departmental Management :
- Carry out supervisory responsibilities per the organization's policies and applicable laws.
- Select, train, motivate, and develop a diverse and momentum creating closing and title team.
Develop and clearly communicate closer and title performance guidelines and expectations.
Regularly review performance with individuals and provide constructive feedback.Recognize employee achievements and discipline with necessary.Continually find ways to help team members maximize their talents.Ensure ongoing training is being provided to continuously improve employee performance.Manage multiple pipelines to ensure all loans are originated within desired timeframe.Manage Closing pipeline :
Reassign files as necessary to confirm appropriate distribution of file count between Mortgage Closers.
Communicate with lenders to adjust closing dates, as necessary.
Monitor pipeline to ensure the preliminary Closing Disclosure and Change in Circumstance (CIC) documents are sent per regulatory guidelines and timing requirements.Ensure team is meeting assigned closing dates, consistent with approval conditions and loan program guidelines.Manage Mortgage Title Specialists pipeline :Monitor pipeline and assign files as necessary to confirm appropriate distribution of file count between Mortgage Title Specialists.
Assist with analyzing title commitments, surveys, zoning conditions, parcel splits, legal descriptions, etc.Provide technical expertise and direction to the team regarding loan programs and underwriting guidelines in order to deliver outstanding customer service.Motivate team to produce required service results expected by both the borrowers and third-party clients.Disseminate company initiatives, investor updates, goals, and process changes to the team.Coordinate with operations manager about pertinent issues affecting department performance.Work closely with management on operational issues including training and implementation of operational initiatives. This includes providing recommendations for process improvements, system enhancements, personnel changes, etc.Loan Administration and Support :
Understand the intricacies of regulatory guidelines (i.e., HOEPA, HMDA, RESPA and TRID) to ensure proper fees are disclosed and loan documents are issued within the appropriate time frame to avoid unnecessary bank expenses and delayed closings.Assist and provide back up support to Mortgage Closers and Mortgage Title Specialists.Assist team with complex transactions through experience, knowledge and resources.Prepare all closing documents for employee files.Must take ownership and accountability in seeing that all closing documents are prepared in an efficient, accurate and professional manner.Take initiative, is resourceful and work to obtain proper documentation needed.Provide guidance to realtors, attorneys, and lenders concerning compliance and documentation requirements.Support the team in providing full resolutions for escalated service issues and loan deficiencies by offering alternatives and working with the appropriate departments to solve customer-related issues.Actively take part in department meetings and projects to improve the operational staff and customer experience.Provide superior customer service while building and maintaining relationships with lenders, borrowers, realtors, third party vendors and operational staff.Work with lending staff to communicate known issues including title issues, logistical issues, pending closing conditions, etc.Ongoing Education / Other Duties :
Possess an in-depth knowledge of Encompass, and Integrated Document Solutions as they relate to the closing function.Maintain knowledge of current mortgage program guidelines including conforming, jumbo, first-time buyer, low-income, no verification and other niche programs, and their impact on loan analysis.Attend job related seminars, conferences and workshops to increase knowledge and proficiency.Perform other duties as assigned.Quality Control :
Assist with resolving secondary market suspensions by following up on missing documentation in the file.Work with supervisors, lenders, other departments, investors and auditors during routine exams and audits to compile the information necessary to satisfy the investor and auditor requests. Respond to quality deficiencies identified through audits and investor feedback.EDUCATION AND SPECIAL REQUIREMENTS :
Associate's degree (A.A.) or equivalent from two-year College or technical school or experience below.3 to 5 years of experience in mortgage loan closing required with experience on 1 to 4 family residential loans that are sold on the Secondary Market.Supervisory experience in loan closing preferred.Technical training in loan documentation and compliance issues is preferred.Extensive knowledge of Microsoft Office, Encompass, Loan Software Systems, and reviewing title work and clearing title objections.EQUAL OPPORTUNITY EMPLOYER
