Job Type : Officer of Administration Regular / Temporary : Regular Hours Per Week : 35 Salary Range : $80,000 - $100,000 The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training.

Position Summary Reporting to the Divisional Administrator and collaborating closely with Sr. Grants Manager(s) the candidate will be responsible predominantly for pre / post-award management in the Division of General Medicine.

  • Responsibilities Develop proposal and study budgets working closely with the Principal Investigators (PIs); enter proposals into RASCAL;
  • initiate and monitor IRB submissions; collaborate with other Divisions / Department / lnstitutions on grants submission;

and work on Progress Reports and JITs. Track proposals, budgets, contracts and other documents through the Research Administration office, IRBs as appropriate, and Sponsored Projects Finance Administration, with facilitation as needed.

Create IPASS and submit timely requests to the Subaward team. Execute electronic grants submissions. Assist in assuring a timely quarterly completion of Sponsored Projects Attestation Statements.

Attend university sponsored project trainings and meetings. Review statements for budget and expense items and advise the PIs and Division Administrator of significant under / over budget expenditures.

Ensure establishment of consulting agreements and subcontracts; approve and monitor subcontractors' timely invoicing and received payments;

and update the subcontractors' database accordingly. Provide designated PIs with regular, structured updates on their projects' financial status, including proper allocation of research personnel salaries.

Update divisional grants master sheet. Maintain a shared database with research and academic documentation, submission dates, reporting dates and other deadlines as well as NIH style biosketches, update of other support information, shared resources, and other proposal support documentation.

Coordinate project and grant closeouts, including final reconciliation and time effort documentation, as well as a final report to the University's Controller Office.

Maintain financial and scientific records of projects. Monitor and clear expense overruns on projects. Responsible for generating monthly research profit and loss statements for distribution and review with PIs and the Administrator.

Monitor projects for overruns, and ensure costs are being charged appropriately. Create budgets for new grants through budget tool, and requisitions for purchase orders.

Perform other related duties as assigned. Minimum Qualifications Bachelor's degree or equivalent in education and experience, plus four years of related experience Master's degree would substitute in part for experience Excellent knowledge of Microsoft Office with proficiency in Excel Good organizational, interpersonal, and communication skills and ability to work well with others and as part of a team are an essential part of this position.
