This position will serve as an executive administrative and project manager for the Office of the Vice President. The candidate will proactively perform a variety of complex assignments from inception to execution of strategic regular functions and special projects serving the Office of Institutional Advancement.
The incumbent reports to the Vice President requiring the ability to effectively balance competing priorities and deliverables.
The Executive Assistant will be expected to work independently to complete tasks on time and with extraordinary accuracy.
Must demonstrate excellent communication skills in person and through correspondence with prominent alumni and other friends of the College who are major supporters or who are being cultivated for significant gifts, as well as College leaders, faculty, staff and OIA team.
The incumbent will handle sensitive and confidential information. The incumbent should have the ability to manage multiple priorities and should be organized and detail oriented.
Required Qualifications
Additional years (5+) of full-time administrative experience. Experience maintaining expenses / budget. Experience organizing and planning projects.
Ability to create presentations. Preferably working in a non-profit advancement department. Proven project management skills.
The ability to work effectively in a team environment as well as take initiative independently.
Preferred Qualifications The selected candidate will be responsible for the following :
- Serves in a planning, organizing, and execution role for key meetings, including logistical support to meetings with the President, Board of Trustees / Advancement Committee Members, Campaign Cabinet / Steering Committee Members and Council and other volunteer / donor groups, working in partnership with the Office of Institutional Advancement.
- Receives telephone and inquiries, and visitors on behalf of the VP of OIA.
- Becomes a proficient in maintaining and inquiring information from the constituencies’ database Salesforce-Ascend and working with constituent reports, and other information from various departments as needed.
- Prepare, edit, and proofread confidential documents, correspondences, reports, meeting agendas and materials and create dynamic presentations for staff and other constituencies.
- Manage and process expenditures, reconcile monthly expenditures using College platform online resources.
- Attend meetings as required and initiate necessarily follow up on action items.
- Coordinate projects, cultivation event planning and operational support for other highly important projects and committees, which may include other College leaders, faculty / staff, OIA team, volunteers, prominent donors, corporations, and other philanthropic organizations.
- Request information and reports that may be highly confidential in nature. The incumbent will have the ability to exercise considerable judgment in communicating with various constituencies.

- Build and maintain positive working relationships with OIA colleagues, foster teamwork, and work collaboratively with others to achieve OIA goals.
- Other duties or projects as assigned as appropriate to rank and departmental mission.
