Job Title : Receptionist / Customer Service

Job Responsibilities :

Answers telephone to receive incoming calls and directs caller to appropriate personnel

Greets visitors and determines nature and purpose of visit in a professional and friendly manner

Answer inquiries and obtain information for customer, vendors and other employees

Provides administrative support including the processing of correspondences, memos, reports, scheduling appointments or other documents as requested

Daily filing of completed work orders using established guidelines. Following SOP s for document retention, archiving and storing documents

Processing credit card payments from customers and field employees

Perform a variety of clerical tasks as needed

Train as back-up to Customer Service department. Tasks may include :

Order entry

Researching customer history in shared database

Scheduling appointments for customers on shared calendar

Outbound calls to past customers to schedule future work or confirm existing appointments

Qualifications :

Must have clear understanding of English language, including the meaning and spelling of words, rules of composition and grammar

Communicate effectively with all levels of staff

Knowledge of numbers, their operations, and interrelationships including basic math and related applications

Knowledge of administrative and clerical procedures and systems such as word processing, filing, and other office procedures and terminology

Education

High School Diploma or GED; 2-3 years experience in a related position supporting a department or office
