Job Summary :
The Administrative Assistant for a Non-Congregate Shelter plays a crucial role in ensuring the smooth and efficient operation of a shelter facility designed to provide temporary housing for individuals and families in need, particularly during emergency situations like natural disasters or public health crises.
This role involves a combination of administrative tasks, coordination, and communication to support the shelter's residents and staff.
Key Responsibilities :
Communication and Coordination :
- Serve as a liaison between shelter management, support staff, and clients.
- Communicate important information to clients regarding shelter rules, schedules, and available services.
- Coordinate with external agencies, volunteers, and service providers to meet the needs of shelter residents
Administrative Support :
- Assist with maintaining administrative records, including client databases and occupancy reports.
- Handle incoming phone calls, emails, and inquiries, providing appropriate information or directing inquiries to the relevant personnel.
- Prepare and distribute internal and external communications.
Security and Safety :
- Follow safety protocols and ensure clients are aware of emergency procedures.
- Collaborate with security personnel to maintain a safe and secure shelter environment.
Documentation and Reporting :
- Maintain accurate records of client interactions and services provided.
- Assist in preparing reports related to shelter operations, occupancy, and client demographics.
Data Entry and Reporting :
- Enter data into shelter management systems accurately and promptly.
- Assist in generating reports and statistics as required.
Qualifications :
- High school diploma or equivalent (some college education preferred).
- Previous experience in administrative or customer service roles is advantageous.
- Strong communication and interpersonal skills.
- Compassion and sensitivity when working with individuals and families experiencing hardship.
- Organizational skills and attention to detail.
- Ability to handle high-pressure situations and remain calm in emergencies.
- Proficiency in basic computer applications (e.g., Microsoft Office suite).
- Knowledge of social services and community resources is a plus.
- Must have reliable transportation.
- Have a valid driver's license.
- Must be able to drive during operating hours to visit shelter locations.
To be considered for this position, your driving record must not indicate any of the following during the past 3 years :
- Punitive suspension, denial, or revocation of driver's license
- Conviction for impaired or intoxicated driving (DWAI, DUI, DWI)
- Conviction of reckless driving, driving with a suspended / denied / revoked license, hitand run or leaving the scene.
- Conviction of 3 or more moving violations, at fault accidents or a combination
Physical Requirements :
- This role may require the ability to stand for extended periods, lift and carry light to moderate loads, and perform duties that involve mobility within the shelter facility.
- May be required to drive personal vehicle to deploy resources in support of field operations.
Work Location :
On Site- Working withNon-Congregate Shelterin Des Moines, IAand the surrounding areas.
Standard Schedule :
- This is a temporary assignment expected to last 6 months.
- Shifts are approximately 7 : 30 AM to 5 : 30 PM Monday Friday w / 2 hours Lunch / Break
- On-call weekend hourswith prior notice
- Flexibility in work hours, including the ability to work weekends and evenings as needed.
This position with Tetra Tech is temporary and on an "as needed" basis and will end. It is understood that your employment is to be on an "at will" basis.
