We are a caring team that assists employees at all levels with matters that relate to their employment within the Firm. We are excited to bring on an HR Specialist to add to our focused and productive team.
The HR Specialist will play a dual role in maintaining the Firm's Human Resource Information System (HRIS) and providing administrative support for our HR operations.
This position ensures the integrity and efficiency of the HRIS while also owning administrative tasks such as onboarding, processing employee changes, and maintaining employee records.
This position is preferred to be based out of our San Francisco or San Jose office(s).
Responsibilities
- HR Administration (70%)
- Organize and facilitate new employee onboarding, ensuring all required paperwork is completed and entered into the HRIS
- Ensure adherence to the firm's orientation process, including the timely and consistent onboarding of new hires, to provide a positive and informative introduction to the company
- Ensure compliance with legal requirements by maintaining up-to-date employee files, I-9s, and benefits records
- Process employee benefit changes, including enrollments, terminations, and updates in the HRIS
- Communicate employee changes to payroll, ensuring all information is accurate and promptly updated. Act as the primary interface between HR and payroll teams to ensure seamless integration and accuracy
- Provide support and guidance to employees and managers on HR-related issues and inquiries, such as leaves, benefits, and firm policies.
Respond to inquiries within 24 hours, with minimal guidance, ensuring five-star customer service to internal clients
- Identify opportunities to improve HR processes and procedures, especially those related to system efficiency and data management
- Coordinate and attend exit interviews, consolidating data into comprehensive reports and identifying improvement opportunities
- Maintain employee confidence and protect confidential information
- Perform other related duties, as required
- HRIS Management (30%)
- Manage and maintain the HRIS, ensuring data accuracy and system functionality
- Input, audit, and maintain employee data in the HRIS, including personal details, job information, and compensation updates
- Generate HR reports and respond to ad hoc reporting requests
- Assist in system updates, test new features, and troubleshoot HRIS-related issues
- Optimizing the system through automation and workflows, using the system to its fullest potential
Qualifications
- A bachelor's degree in Business, Human Resource Management or related field, preferred
- 2-4 years' experience in an HR administration or operations role
- 2+ years' experience with HRIS administration (UKG preferred, Workday, Dayforce)
- Proven experience working with confidential and sensitive information
- Strong business acumen with diplomatic, professional demeanor

- Strong written and verbal communication skills, excellent interpersonal skills and ability to communicate with all levels of the organization
- Ability to identify issues and troubleshoot HRIS and administrative challenges efficiently
- Detail-oriented, proactive, organized, and efficient in daily tasks
- Comfortable working with evolving HR technologies and handling various HR administrative tasks
- Results-oriented, with the ability to complete assignments on time and manage multiple priorities concurrently
The base hourly range for this position is $34.62 - $43.27 per hour. Please note this position is non-exempt and therefore eligible for overtime, which will be paid in addition to the published base jourly range.
The pay range reflects the San Francisco Bay Area and compensation will be adjusted for each candidate based on their individual geographic location of work.
