Job Description

This is a remote position.

The Quality Documentation Specialist will play a key role in supporting Sunrift Adventures’ operational integrity by creating, managing, and maintaining documentation related to product quality, vendor compliance, equipment rentals, return / repair processes, and inventory accuracy. This role ensures that all operational and quality-control records are accurate, accessible, and compliant with company standards, thereby helping maintain the store’s reputation for high-quality outdoor gear and rental services. Sunrift Adventures has been outfitting outdoor enthusiasts since 1980 and prides itself on expert service, high-quality gear, and community impact.

Key Responsibilities

Develop, update and maintain all quality-related documentation including standard operating procedures (SOPs), work instructions, inspection checklists, vendor compliance forms, rental equipment condition logs, and return / repair tracking forms.

Collaborate with store operations, rental & repair departments, inventory & warehouse teams, and vendors to ensure documentation reflects current practices and regulatory / internal requirements.

Monitor document revision history, ensure proper version control, and archive obsolete documents while ensuring that the most current procedures are in use across departments.

Conduct periodic audits of documentation adherence (e.g., rental equipment checks, repair logs, product inspection records), identify gaps or non-conformities, and coordinate corrective actions with relevant departments.

Support training efforts by preparing documentation for new quality processes or system updates, and assist in rolling out training materials to staff (store floor, gear rental, repair technicians).

Generate reports on documentation status, outstanding un-completed logs, vendor non-compliance, repair delays, or other quality metrics and provide insights to management for continuous improvement.

Maintain confidentiality of sensitive vendor, product, and customer information and ensure all documentation is stored in a compliant and secure manner (physical or digital).

Assist with special projects such as the implementation of a digital quality-management system, a shift to electronic logs, or integration of rental gear inspection metrics into the broader inventory system.

Requirements

High School diploma or equivalent required; additional training or certification in quality management, documentation control, or related field preferred.

Proven experience (1–3 years or more) in documentation control, quality assurance, or operational support—preferably in a retail, rental, or outdoor-gear environment.

Strong attention to detail and organisational skills; ability to maintain accuracy when handling multiple documentation streams.

Proficiency with Microsoft Office suite (Word, Excel, Outlook), and comfort learning or navigating document-management systems or databases.

Good communication skills—able to liaise effectively with multiple teams, clarify documentation needs, follow up on outstanding items, and write clear, concise process documents.

Ability to prioritise tasks, meet deadlines, and handle ad-hoc requests in a dynamic retail / rental environment.

A passion for outdoor gear and understanding of the associated operational workflows (retail, rental, repairs, inventory) is a plus.

Reliable and punctual with a flexible schedule to support key business periods (e.g., seasonal peaks or rental high-volume times).

Requirements

Friendly, energetic, with strong communication and listening skills. Passionate about the outdoors; experience or comfort with outdoor gear is a plus. Detail-oriented; able to multitask and work efficiently even during busy times. Reliable, punctual, and able to work flexible hours, including weekends and holidays. Able to lift equipment (e.g. boxes or gear) up to moderate weight (e.g. 40-50 lbs) safely. Comfortable standing for long periods and moving around the store.
