As an integrated part of the Arcadia Multi-Specialty clinic, this position provides coordination of office flow and activities.
Assist with all aspects of patient care. Coordinates physician block schedules, patient appointments and follow up. Answers patient phone calls, verifies insurance benefits for add-ons.
Coordinates scheduling and diagnostic testing for patients. Assists the office with clerical duties. Other duties may include : assisting multidisciplinary team in managing the care of the patients thru all phases ( registration, scheduling, check out) by acting as a liaison between the clinic and referring physicians;
assisting in managing follow-up care by setting up follow up care appointments; and / or coordinating an organized and efficient case flow of clinic scheduling.
Must work with any and every physician in the clinic. Also responsible for unit and area specific charge capture of clinical services and procedures.
Will verify charges based on clinical documentation. Will also conduct reconciliation of department generated record with billing system report to ensure optimal charge capture;
auditing for completeness, correcting, and resubmitting rejected charges and charge follow-up. Also responsible for communicating missing or incomplete clinical documentation and charge entry errors for clinical department process improvement.
Must have excellent communication skills, including the ability to speak, read and write English proficiently. Must be comfortable with computers and medical terminology.
In depth knowledge of all insurance types. Offers support in coordinating and maintaining files and data activities in an efficient, confidential manner.
Provides support to the Office Manager by completing assigned projects or tasks in a timely manner. Able to fill in for any employee as assigned to make sure patients are taken care of in a timely manner.
Assists the office with clerical duties. Other duties as assigned.
Essential Duties :
- Ability to communicate effectively with co-workers in relaying information in a timely manner. Receive all calls in a professional manner.
- Take detailed messages, determine urgency of calls, and forward them to the appropriate staff member or provider
- Create spreadsheets and tables, utilizing functions (formulas) and manipulating the data to retrieve desired information.
Works with manager to analyze data and present to staff and provider.
- Perform daily charge reconciliation on accounts; check charges for accuracy and completeness, correct errors.
- Knowledgeable of clinic operations and able to cover for various staff when necessary
- Order and maintain office supplies; assist in care and maintenance of department equipment
- Functions as a patient advocate
- Demonstrate proficiency in using Keck Medical Center of USC charge capture policies, rules, criteria and decision trees (algorithms) to assign the correct charge code.
- Review department clinical documentation from multiple sources and enter hospital charges accurately, timely and in accordance with Keck Medical Center of USC charge capture policies / guidelines, into Patient Accounting System -Cerner or PBAR.
- Demonstrate understanding of CMS Medicare billing rules, regulations, and compliance related to outpatient intravenous infusion and chemotherapy administration charges, observation charging (and other service line charges.
- Schedules patient's evaluation in a timely manner while accommodating patient's needs. This includes but no limited to : laboratories, diagnostic testing and consultations as needed.

Required Qualifications :
- Req High school or equivalent
- Req 2 years Experience in related field.
- Req Advanced proficiency with Microsoft Office applications and competent keyboarding.
- Req Excellent organizational skills, detail oriented with strong ability to multi-task.
- Req Customer Service skills including problem resolution and patient satisfaction.
- Req Ability to maintain confidential information.
Preferred Qualifications :
- Pref Specialized / technical training Graduate of Medical Assistant or Secretary program.
- Pref Familiarity with medical terminology.
- Pref Knowledge of GE Centricity for patient appointments and familiarity with electronic medical records.
Required Licenses / Certifications :
Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date.

The hourly rate range for this position is $25.00 - $39.69.
