C-Suite Executive Assistant Mid-Level Role

Join a prominent Family Office based in Birmingham, MI Harper Associates has been retained for this search.

Provide confidential and high-level administrative support to an executive administrative team for a family office. Team provides support for wealth management, philanthropy, and business operations.

Multi-faceted position coordinating across many subject areas and at many different levels. Position is in downtown Birmingham, Michigan.

About the Job :

  • Maintain strict confidentiality requirements at all times.
  • Take direction from and report to executive assistant team that delegates and supervises various administrative tasks and projects.
  • Projects may be related to office operations and possibly include chairman -directed tasks.
  • Tasks will include traditional executive support needs as well as administrative housekeeping.
  • Handle standard office tasks such as : answer phones, sort and distribute mail daily, accept and organize office deliveries, monitor onsite vendor visits.
  • Assist with in-office catering for meetings and small events.
  • Serve as back-up for a variety of responsibilities that may encompass both corporate and personal as well as administrative and facilities areas.
  • Share after-hours schedule for communications, in-office tasks, or standby coverage for travel requests on select weekends and holidays.
  • Assist as needed with research and drafting, preparing, editing, and coordinating correspondence, presentations, or internal documentation.
  • May work closely with project assistant and / or facilities team in support of CFO and office space or IT projects.
  • May also report to a small team of investment / deal professionals and analysts for ad hoc administrative tasks or special projects.
  • May eventually back up administrative colleagues during vacations / illness.
  • May liaise with independent contractors for completion of projects.
  • Help maintain filing system, both paper and digital.
  • Very little travel, if any, required but ability to accommodate when needed.
  • In-person presence onsite required for TBD period, with possible WFH day at cadence and frequency per discretion of senior team.

About You :

  • Minimum of five years of administrative support experience, preferably 10 years.
  • Bachelor’s degree or higher from accredited college / university required.
  • Project management experience welcome.
  • Experience interacting with high level executives and understanding of interpersonal dynamics for handling various levels of contacts without prologue or notice.
  • Sophisticated sense of situation able to read a situation with common sense and sound contextual judgment.
  • Curious and interested in knowing the why of how the team makes decisions; not solely focused on the shortest distance from A to B but who also manages time well.
  • Detail-oriented with the ability to change gears quickly and seamlessly.
  • Resilient with a grace under pressure capacity.
  • High level of integrity and discretion, with an ingrained sense of how to prioritize the needs of the team, organization, and principals appropriately;

trust and integrity are key to the culture.

  • Intermediate, preferably advanced, Microsoft Office Suite skills.
  • Familiarity with Apple equipment is very advantageous.
  • The ability to clearly explain and troubleshoot technology issues is highly beneficial.
  • Excellent written and verbal communication skills.
  • A warm, positive, can-do personality and whatever-it-takes attitude.
  • Very organized with a balance of self-confidence and humility.
  • Transparency in attitude and communication with ability to ask for help, plus good instincts about when to seek guidance from team.
  • Able to identify when stakes are flexible enough to wing it’ or when critical to pause and defer to a senior colleague.
  • Adaptability to work effectively with colleagues who have different work styles and collaborative needs.
