We’re looking for a driven and dedicated Real Estate Administrative Assistant to join our growing team. Your job will be to complete and file the appropriate paperwork for transactions, oversee important deadlines and notify clients when necessary, adhere to legal and tax withholding requirements, and coordinate schedules for final walkthroughs and other appointments.

You’ll also work with the team to manage the production of all marketing materials and facilitate local events to foster connections with people in the community.

Our ideal candidate has superb organizational skills, a knack for customer service, and a strong understanding of the real estate transaction process.

Compensation :

$30,000 - $50,000 yearly

Responsibilities :

  • Notify transaction participants when a deadline is approaching
  • Arrange for open houses and other community events to locally spread brand awareness
  • Take part in employee development programs to strengthen existing skill sets in real estate administration
  • Enforce compliance with legal and tax withholding processes
  • Plan travel arrangements, open houses, final walkthroughs, and other necessary engagements
  • Efficiently handle and respond to calls and emails
  • Maintain organized files and assist in managing sales / escrows / closing processes
  • Execute follow-up communication with clients via letters and emails
  • Post new listings during weekly team meetings
  • Manage business supply inventory and monitor weekly, monthly, and yearly goals
  • Update client records in CRM (BoomTown) and handle all data entry and reports
  • Coordinate necessary appointments, including open houses and final walkthroughs
  • Ensure compliance with tax withholding processes and legal requirements
  • Organize and support community outreach events to enhance our local presence
  • Stay updated on website maintenance and track mileage
  • Contribute to the improvement of office policies and procedures
  • Backup computer files and continuously enhance real estate industry knowledge

Qualifications :

  • Great written and verbal skills
  • Available evenings and weekends
  • Understands how to utilize a database for processing client information and how to use Microsoft Office to create necessary documents
  • Prior experience in the real estate industry or as an office manager
  • Real estate license preferred
  • A valid Real Estate License is preferred for this job but is not required to apply
  • Strong communication skills (phone and email)
  • Computer literacy, including proficiency in Microsoft Office and CRM software
  • Positive, enthusiastic, and solution-oriented mindset
  • High school diploma or GED required
  • Previous experience in the real estate industry is a plus
  • Last but not least, be Teachable!
