We are seeking an Administrative Assistant to provide high-level support to senior leadership in a fast-paced, results-oriented environment.
This role will manage complex calendars, coordinate meetings and events, handle communications, and provide administrative support for various organizational needs.
Key Responsibilities :
- Proactively m anage senior leaders’ calendars , including scheduling meetings, resolving conflicts, and anticipating needs in a matrixed organization.
- Plan and coordinate team meetings and events, including venue selection, catering, A / V resources, tracking expenses, and material preparation.
- Draft, contribute, and edit communications , managing distribution lists and sending communications on behalf of leadership.
- Book d omestic and international travel, secure visas, and manage travel profiles.
- Track and submit expense reports, ensure team adherence to policy.
- Assist with the onboarding and offboarding process, including equipment procurement, space planning, and scheduling.
- Produce high-quality PowerPoint or Keynote presentations.
- Create and maintain organizational charts .
- Assist leadership with budget tracking as needed.
Qualifications :
- Minimum of 3 years of administrative experience supporting senior leadership in a large organization.
- Proficiency in Microsoft Suite (Word, Excel, PowerPoint, Outlook), Slack , Box , Concur , and Zoom .
- Experience managing international meetings , time zones, and larger-scale events.
- Event management experience, including working with vendors, tracking expenses, and coordinating logistics.
