Position Summary

This Position works under indirect supervision and provides administrative and clerical support to Special Projects Operations.

The Construction Administrative Assistant deals directly with a diverse group of important external contacts and visitors as well and internal contacts at all levels of the organization.

Independent judgement and professionalism is required to plan, prioritize and organize a diversified workload.

Essential Duties and Responsibilities

  • Responsible for assisting managers in tracking multiple projects.
  • Perform administrative and clerical tasks.
  • Maintain data for making transfers of personnel.
  • Filing project documents, creating and maintaining project schedules.
  • Arranging travel and scheduling meetings, meeting minutes.
  • Process RFI (Request for Information) from contractor and submits to PM.
  • Process change orders on request.
  • Establish and maintain project logs of RFIs, change order requests, submittals and trasmittals, submits and reviews timecards and expenses.
  • Receive and organize all documents for Assistant General Superintendent.
  • Answer phone and return phone calls.
  • Collaborate with management concerning current manpower regarding who is available and what resources are available.

Other Duties and Responsibilities

Perform other related duties as assigned to ensure efficient and effective processes and smooth operation of department.

Education and Experience

  • Education- High school diploma required with 1-4 years administrative experience
  • Recent college graduate with interest in construction work or pursuing college degree in engineering or construction a plus.
  • Technologies- Understanding and proficiency with Microsoft Office Products, with excellent Excel skills
  • Previous experience and understanding of commercial construction industry

works on ladders, scaffolds, aerial lifts, catwalks, in ditches and excavations; works in and around single and multi-story buildings with all exposures typical of a construction site, including portable sanitary facilities.

This position requires travel by vehicle, the ability to work and walk at construction sites, during all stages, in all types of weather conditions.

Must be able to perform all activities requiring use of arms and legs, including standing, walking, typing, carrying, bending, climbing ladders / scaolding, lifting, balancing, stooping.

Must be able to speak and hear detailed information through oral communication. Must be able to write and talk. Must be able to see clearly and recognize small details.

Must be able to concentrate for extended periods of me. Must be able to use portable sanitary facilities.
