NATURE AND SCOPE :
The Facility Manager will report to the Facilities Director and is responsible for ensuring the implementation of established YMCA Early Learning and Head Start facility and equipment procedures, adherence to governmental rules and regulations concerning center operations and all related inspections and reporting.
The Facility Manager will supervise the center’s maintenance staff and vendors / contractors who are directly responsible for the day-to-day facility operations of their assigned sites and will report directly to the Director of Properties Management with dotted lines to the SVP of Early Learning and the Director of Operations for ECDC.
RESPONSIBILITIES (including, but not limited to) :
- Serve as lead in the management of project contracts, site documentation, and licensing processes.
- Ensure that preventative maintenance of facilities / equipment is conducted on a regular basis by trained vendors and staff ensuring that the YMCA and Early Learning remain in compliance with requirements of all stakeholders.
- Oversee the organization of facility and capital project documents and files, both hard copy and digital.
- Conduct regular inspections of all assigned sites (Head Start, YMCA, partner sites) using approved forms and protocols.
- Establish and maintain on-going communications with ECDC and YMCA leadership and with front-line staff at all sites and centers, serving as the primary point of contact and liaison for both staff and vendors for matters related to facilities and maintenance.
- Research and apply best practices from Head Start, Bright from the Start, to ensure that all sites are operating optimally and without deficiencies.
- Conduct financial modeling for monthly forecast, annual budget, and multiyear planning for facilities and real estate costs and for ad hoc projects and scenario analysis.
- Monitor financial performance of sites’ building & grounds departments, explaining variances and developing forecasts.
- Conduct long-range capital facility and equipment planning.
- Serve as lead person in integrating the YMCA’s enterprise risk management systems concerning Head Start and Early Learning sites and programs.
- Ensure that account managers and vendors are conducting cleaning and maintenance tasks up to YMCA standards.
- Perform light maintenance as needed.
- Implement cost controls and energy management as they relate to early learning properties.
QUALIFICATIONS :
- 3+ years of progressive experience in properties and real estate management or related field
- Proven skills in detail reporting, written & verbal communications, and multitasking
- Ability to work independently while managing multiple projects and deadlines
- Ability to physically tour buildings and outdoor sites unaccompanied
- Customer-centric and stewardship mindset
PREFERRED QUALIFICATIONS :
- Bachelor’s degree preferred in management, business, facilities, or similar field
- Working knowledge of Head Start and Bright from the Start licensing program requirements
- 5+ years of progressive experience in properties and real estate management or related field
