Job Summary
As an Administrative Assistant at BPMI, you will perform clerical and administrative duties to support the manager of a technical or administrative department and / or a group of professional or administrative personnel.
Essential Duties :
- Initiate and prepare a variety of standardized written and electronic communications such as correspondence, presentations, reports, etc.
- Screen telephone calls and visitors; resolves routine and some complex inquires.
- Schedule and maintain calendar of appointments, vehicle administration, meetings and travel itineraries and coordinate related arrangements.
- Prepare, maintain, and track a variety of sensitive data.
- Administer occasionally complex and non-routine programs, projects, and / or processes specific to the group served. Develop reports and respond to requests for information as assigned.
- Serve as administrative liaison with others within and outside the Company regarding a variety of administrative issues.
Develop relationships with peers and manager to ensure unit goals are met. Promote and maintain effective communications throughout the Company on administrative matters.
Schedule meetings; prepare agenda and presentations, make room reservations, organize the provision of necessary equipment for the meeting and / or refreshments, if needed.
Process requests for entry of visitors, and escort non-cleared personnel, if needed.
- Utilize skills and knowledge of organizational processes and procedures to develop and implement creative solutions to fairly complex administrative problems.
- Develop administrative processes in support of company needs. Identify and implement changes in administrative activities that improve group performance.
- Ensure office equipment is maintained, initiate troubleshooting efforts, ensure the necessary equipment is available for the end user.
- Perform clerical duties which may include filing, distribution of mail / email, document scanning, etc.
- Maintain department / Company websites (i.e., SharePoint sites) to ensure the flow of information.

Minimum Job Requirements :
- High school diploma or equivalent.
- Minimum of four (4) years of relevant administrative experience.
- Requires a security clearance; however, all qualified candidates will be considered regardless of their current clearance status.
The ability to obtain and maintain a Department of Energy security clearance is required.
Preferred Job Requirements :
- Associates Degree in Office Administration, Business Management, or Administrative Information Technology preferred with consideration given for equivalent certificate program.
- Demonstrated adaptability, flexibility, and the willingness to assume new tasks, and / or learn new skills.
- Team-oriented; motivated and willing to assist others; good interpersonal skills.
- Oral communication skills including proper telephone etiquette.
- Working knowledge of personal computer and peripheral devices (e.g., printers, scanners, etc.).
- Knowledge and ability to use Windows and Microsoft Office software packages (e.g., Word, Access, Excel, PowerPoint, and Outlook) and administrative diagramming / charting packages (e.g., Visio).
- Ability to create and maintain websites.
- Knowledge of grammar, writing, documenting, and formatting letters and reports.
- Ability to follow oral and written instructions and direction.
- Must demonstrate proficient keyboarding skills.
