POSITION SUMMARY :

The Sales Assistant supports sales initiatives, proposal submissions, and overall client relationship activities. This role is key to ensuring high-quality and timely delivery of proposals and maintaining organized databases, while also providing essential sales support.

ESSENTIAL FUNCTIONS :

Sales Support :

  • Assist the sales team in preparing and organizing client presentations and sales materials.
  • Support the coordination of sales meetings and follow-ups with potential clients.
  • Conduct research to help identify new business opportunities and potential clients.
  • Help maintain and organize sales-related documentation and client correspondence.
  • Track and report on sales metrics and client engagement activities.
  • Assist with direct mailing logistics for various company communications including press releases, holiday cards, and event invitations.
  • Collaborate with creative professionals as needed (for example marketing and social media consultants, graphic designers, photographers).

Proposal Coordination :

  • Coordinate the end-to-end proposal / Request-For-Proposal (RFP) processes to ensure timely submissions.
  • Collaborate with internal teams and clients to gather and format information for proposals.
  • Develop concise project descriptions and maintain an organized repository of project sheets for quick retrieval.
  • Design and update qualification packages, including forms and submission materials, while coordinating content across agency solicitation portals.
  • Organize informational sessions to align sales and proposal strategies.

Database and Record Keeping :

  • Maintain and update the Building Mavens Client Database with new entries from completed projects and proposals.
  • Regularly update the Project Database with details such as construction costs, timelines, involved personnel, and project categorizations.
  • Keep the Proposal Database current with information on new and existing staff, published materials, and professional licensures.

Event Coordination :

  • Coordinate logistics for company events such as presentations, seminars, and social gatherings.
  • Support the organization of external events including technical conferences and career fairs.
  • Assist with internal document reviews, ensuring materials are error-free and effectively communicated.

REQUIRED AND PREFERRED QUALIFICATIONS :

Required Education :

  • Bachelor’s degree. A focus on Business Administration, Marketing, Communications, or a related field is a plus.
  • Required Experiences, Skills, and Knowledges :
  • 2-4 years’ related experience (such as in sales support, CRM database work, proposal writing, or a similar role).
  • Strong project coordination skills with the ability to meet deadlines.
  • Excellent written and verbal communication skills.
  • Experience managing content in digital formats and familiarity with customer management systems (CRMs).
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). Ability to organize Excel databases efficiently and accurately, as well as the ability to produce highly formatted Word and PPT documents, is required.
  • Preferred Experiences, Skills, and Knowledges :
  • Experience in engineering, construction, architecture, or other related industries.
  • Familiarity with sales and marketing tools and platforms.
  • Experience coordinating events and organizing logistics.
  • Knowledge of graphic design tools like Adobe Creative Suite.

SCHEDULING REQUIREMENTS

Requires some flexibility in scheduling, such as the ability to work evenings and weekends to meet client deliverables.

LOCATION REQUIREMENTS

Building Mavens operates primarily as a remote work environment. However, this role may require in-office presence either at the BM office or at client locations as needed.

The in-person requirement may vary based on business needs and project demands, ensuring flexibility while maintaining strong client and team collaboration.
