Hours : 35 Hours; Exempt Salay Scale : $61,967k - $68,297k Job Summary : The Senior Division Coordinator will provide support to the Vice President of After School Programs in all matters related to the running of the division.

Major Duties : Assist with the planning and coordination of program activities, special projects, and special events. Develop systems for tracking contract goals and outcome measures and generate reports.

Oversee internal and external databases. Create and generate internal and external reports as needed. Process all on and off boarding materials (i.

e., interview notes, fingerprint clearances, references, hiring packets, etc.) to ensure they are accurately completed in consultation with Human Resources Department.

Create, maintain, and prepare reports / spreadsheets for internal / external databases to track staffing in programs. Process all programmatic material including payroll authorization forms and hiring packets to ensure they are accurately completed.

Create and maintain spreadsheets to track financial spending in programs. Assist with developing program resource materials.

Assist program staff in developing effective clerical / administrative systems. Schedule and coordinate meetings and prepare necessary materials.

Coordinate and process the collection of receipts, invoices, purchase of services agreements, subcontractor documents, and reconciliation of petty cash and check request system.

Provide general administrative support to the Vice President which includes drafting routine correspondence, typing, faxing, copying, and ADP system support.

Collaborate effectively with GSS administration support departments. Handle the processing of Payroll materials which include payroll authorization forms, special payroll transmittals, 2nd job timesheets, and any additional payroll documentation.

Work with facilities department to arrange for deliveries to programs as needed. Provide support around special projects and events when needed.

Track and update required COA manuals and program requirements. Provide coverage for Program Directors in After School Programs in Bronx and Brooklyn as needed.

Provide front desk / reception and administrative coverage at office locations as needed. Responsible for submitting and processing program orders.

Communicate and collaborate regularly with Learning & Development department around staff training and monitoring / updating tracking spreadsheet.

Perform other duties as assigned. Qualifications : High School Diploma Required. Candidates with Bachelor's Degrees are encouraged to apply.

Minimum of four years of administrative / office management experience required. Good judgment with ability to evaluate and respond appropriately to sensitive / urgent situations.

Highly organized, efficient, able to work under pressure and able to adhere to deadlines. Good interpersonal skills and ability to work effectively as part of a team.

Excellent verbal and written communication skills. Strong computer skills including Suite and database software a plus. Must be able to work independently, be self-motivated, detail orientated and able to manage multiple tasks in a fast-paced environment.
