SUMMARY

The General Manager of Event Operations will play an integral role in firmly establishing the CCMC business units at Pier 17 as a customer- and client-focused premium venue that provides visiting artists, guests, business partners, and corporate clients with memorable, world-class event experiences that are second to none.

The General Manager of Operations is responsible for overseeing the planning, coordination, and execution of events. This role involves managing logistics, vendor relationships, equipment, production, budgets, and staff to ensure each event runs smoothly and meets organizational goals and client expectations, managing internal and external resources and collaboration across multiple departments.

ESSENTIAL JOB RESPONSIBILITIES

  • Schedule staff and coordinate schedules based on vendor load in and load out, set up and breakdown, according to each events needs
  • Coordinate audiovisual, lighting, and technical requirements with in-house and external partners
  • Manage on-site and off-site event operations, including setup, execution, and teardown
  • Attends BEO meetings
  • Confirm BEO’s and all associated details for upcoming events
  • Review BEO’s with Manager assigned to event and confirm event plan is up to standard and set up for success (beverage pars, dry goods ordered, staffing pars, pull sheets, and duty delegations reviewed)
  • Coordinate outsourced or additional staff for events as needed
  • Confirm beverage inventory, recipes and signage, as well as menus, plateware, service ware, signage
  • Flag any concerns in advance of event to sort solutions
  • Work collaboratively with event sales team, clients, staff, and managers including Chefs to ensure seamless execution of events
  • Provide clear and concise communications to everyone having ownership in the success of the event
  • Projects supply needs for the department, (e.g., China glass, silver, buffet presentations, props, coat racks, hangers, coat check tickets, tables, linens, frames, signage holders)
  • Follows and enforces SOP for EOD recap and Event Checks
  • Ensures established sanitation levels are maintained
  • Manages departmental inventories and maintains equipment and places supplementary rental orders as needed
  • Applies for all permitting needs specific to all events
  • Attend site visits for production meetings as needed
  • Coordinate inter-departmental needs as it pertains to receiving, retail, borrowing of equipment
  • Oversee and / or delegate on site management all vendors booked for events (security, rentals, floral, AV, etc )
  • Book & approve all Seaport security invoices
  • Submit event operations memos to all needed departments to make them aware of impact on spaces (AV, furniture removal, security, etc )
  • Coordinate furniture removal and replacement as needed for events
  • Ensure consistent adherence to health, safety, and sanitation standards
  • Operate ethically to protect the assets and image of the company
  • Be a collaborative team player
  • Performs other duties, tasks, and responsibilities as per business need

KNOWLEDGE, EXPERIENCE AND SKILLS

  • Minimum 2 years’ experience in an Event Operations Manager role preferably within luxury setting in an upscale, high-end environment
  • Exceptional guest service and hospitality skills with experience managing high profile events and VIP clientele
  • Bachelor’s Degree preferred
  • Strong contacts within the events and meetings industry
  • Excellent track record of developing strong client relationships
  • Experience in coordinating a combination of full-time, seasonal, and contractor staff
  • Excellent communication and interpersonal abilities.
  • Proficiency in event management software and tools.
  • Ability to work under pressure and meet tight deadlines.
  • Financial acumen and budgeting skills.
  • Leadership and team management capabilities.
  • Attention to detail and problem-solving skills.
  • Creativity and ability to think outside the box.

  • Ability to work a flexible schedule including early mornings, days, nights, weekends, and holidays

PHYSICAL REQUIREMENTS

  • Ability to lift and carry items weighing 50 pounds on a regular basis.
  • Ability to stand for prolong periods of time.
  • Ability to move on foot to accomplish tasks, particularly frequent movements from place to place within the property. Bend, lift, carry, reach / extend arms, and hands above shoulder height frequently, climb steps regularly, or otherwise move in a constantly changing environment.

COMPENSATION

The base pay range for this position is $100,000 -$120,000.00 annually. The determination of what a specific employee in this job classification is paid within the range depends on a number of factors, including, but not limited to, prior employment history / job-related knowledge, qualifications and skills, etc.
