Position Details

Job Summary : The Director of Advancement Events provides overall leadership and execution for the annual events hosted by the Advancement Department in collaboration with department leadership and other members of the Advancement team.

This is a variable hour part-time position.

Duties and Performance Responsibilities :

  • Lead Major Advancement Events : Responsible for the overall execution of the following Advancement events : Maroon and White Gala Early November Board of Advisors Fall Circle of Care Fall Athletic Hall of Fame Fall Golden Cubs Fall President’s Mass and Brunch Late November / Early December Cub Lawyer Dinner End of January Alumni Reception Spring Alumni Senior Luncheon End of April Grand Reunion Events First weekend in June Other events as assigned
  • The Director is responsible for all aspects on the day-of experience for our guests and works with Advancement Office event lead to accomplish the following : Prepare event setup forms and ensure that the event is on the operations calendar.

Serve as lead point of contact with all necessary vendors, venue operators, caterers, etc. involved in each event.Apply for and secure all required permits and licensingWork with Advancement Office lead to ensure creation of registration in support of all events, electronically prior to events and on-site at event.

Work with Communications Office to ensure creation of effective, targeted marketing materials for events, including print, electronic, and social media to maximize awareness and participation.

Create playbooks for each event that consolidate and capture all necessary information about each budgets, vendors, marketing materials, programs, etc.

as well as after action reports capturing successes, challenges and recommendations for future event.

  • Director is responsible for all Maroon and White Gala related responsibilities including but not limited to : Recruit, train, and supervise Gala staff and volunteers.
  • Ensure current constituent relations and cultivation of new benefactorsPrepare event setup forms and ensure that event is on the operations calendar;

Identify and select Gala site, if event is to be held off-site, and work with vendor point person to ensure Gala success.

Lead the selection of Auctioneer, Producer, and auction software.Lead staff and volunteers in the event set-up, day of operations, and clean-up.

Identify and acquire auction items, write item descriptions, and coordinate arrangements between donors and successful biddersSolicit Partners and Advertisers.

Determine and coordinate (or assign to designee) all Gala events, including Patron Party, Mass, Gift Gathering Parties, and after-glow.

Work with Communications Department to : Ensure creation of effective, targeted marketing materials for event, including print, electronic, and social media to maximize awareness and participation.

Maintenance of Gala website.

  • Collaborate on the production of Gala video.
  • Supervise all raffles, including 750-ticket tuition assistance raffle for which winning tickets are drawn on Gala evening;

as well as raffles the evening of the Gala

Apply for and secure all required permits and licensingDevelop and manage the Gala revenue and expense budgetWork closely with Advancement and Business offices to ensure financial accountability.

Other job duties and responsibilities as assigned.

Qualifications and Experience :

  • Bachelor’s degree or a combination of education and experience
  • Experience as a supervisor preferred
  • Three or more years of auction leadership experience preferred.
  • Knowledge of and experience GiveSmart and The Raisers Edge, or similar software, is required.
  • Excellent computer skills with proficiency in Microsoft Office Suite required.
  • Ability to work effectively in a team-oriented and multifaceted development program.
  • Strong verbal and written communication skills
  • Interpersonal skills that demonstrate the ability to interact successfully with a variety of constituents.
  • Ability to plan, organize and delegate work effectively in order to meet deadlines.
  • High degree of energy, creativity, flexibility and open to new ideas.
  • Willingness to understand and embrace the Jesuit and Catholic tradition of U of D Jesuit and develop a passion for the mission of the school.

Physical Working Conditions :

Job may require lifting light weight objects (1 to 10 pounds) with no repetitive bending or stooping. Occasionally lift average weight objects (10 to 20 pounds).

Working Environment :

Regular exposure to favorable conditions such as those found in a normal office.
