EXECUTIVE ASSISTANT

GENERAL PURPOSE :
The Executive Assistant provides high-level administrative support to senior executives by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings.

ESSENTIAL DUTIES / RESPONSIBILITIES :
Manage and maintain executive schedules, including appointments, meetings, and travel arrangements. Coordinate complex scheduling and calendar management.
Serve as the primary point of contact with the President & CEO. Handle and direct incoming calls, emails, and correspondence appropriately.
Prepare agendas, attend meetings, and record and transcribe minutes. Ensure executives are well-prepared for meetings.
Draft, review, and manage correspondence, reports, presentations, and other documents. Ensure the accuracy and completeness of all materials.
Arrange detailed travel plans, itineraries, and agendas. Process travel expenses and reimbursements.
Assist with special projects, research, and initiatives as needed. Track progress and ensure timely completion.
Handle sensitive information with the highest level of discretion and confidentiality.
Oversee the executive office environment, including managing supplies.
Organize and coordinate events, conferences, and executive off-sites, including logistics and on-site support.
MINIMUM QUALIFICATIONS / EDUCATION :
Bachelors degree in Business Administration, Communications, or a related field preferred. Equivalent experience may be considered.
Minimum of 5-8 years of experience as an executive assistant or in a similar role supporting senior executives.
Excellent organizational and time-management skills.
Strong verbal and written communication skills.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity tools.
Ability to manage multiple priorities and adapt to changing needs.
High level of professionalism and discretion in handling confidential information.
Strong interpersonal skills and the ability to build relationships with stakeholders.
Detail-oriented with strong problem-solving skills.
