We're looking for an Executive Assistant to join our growing team at HELM! You'll be working with our client in the Real Estate industry in a remote capacity.

Responsibilities :
- Manage the CEO's calendar, including scheduling meetings, appointments, travel, and commitments.
- Oversee the CEO's email inbox : draft responses, prioritize emails, and ensure timely follow-up.
- Provide daily briefings to the CEO on key tasks, deadlines, meetings, and priorities.
- Act as the CEO's liaison with internal and external stakeholders to ensure effective communication.
- Assist in preparing reports, presentations, and documents for meetings.
- Use your transactional knowledge to support real estate equity transactions, including due diligence and documentation.
- Potentially assist with escrow and title-related activities, if this is something you are familiar with.
- Maintain accurate and confidential records, ensuring easy access when needed.
- Arrange and coordinate meetings, including preparing agendas, booking rooms, and taking minutes as needed.
- Assist the CEO with special projects, research, and additional support.
- Provide personal assistance to the CEO as requested.
Requirements :
- 3-5 years of experience as an executive assistant, preferably supporting C-level executives.
- Familiarity with real estate transactions and documents is highly desirable.
- Strong organizational skills to prioritize tasks, manage multiple calendars, and meet deadlines.
- Excellent verbal and written communication skills for drafting emails, preparing reports and engaging with stakeholders.
- Impeccable attention to detail for calendar management, email correspondence and document preparation.
- Reliable, dependable and responsible!
- Demonstrated ability to handle sensitive information with confidentiality and discretion.
- Proficiency in Microsoft Office Suite and email / calendar tools like Google, and familiarity with Monday.com.
- Ability to thrive in a fast-paced environment and adapt to changing priorities.
Location : Remote (contractor basis)
Weekly Hours : 40-50hrs per week, starting at 5am PDT
Pay Range : $15 (+ / - 5) - potentially slightly more for very seasoned candidates!
