Position Overview :

As an Operations and Recruiting Coordinator at Ark Financial, you will be the driving force behind our organizational excellence.

This dynamic role encompasses talent acquisition, human resources, employee engagement, office management, and more. If you thrive in a fast-paced environment, excel at multitasking, and enjoy fostering a joyful, faith-forward workplace culture, this role is for you.

Key Responsibilities :

Talent Acquisition and Management :

  • Strategic Recruiting Initiatives : Develop and implement strategies to attract top talent.
  • Recruitment Process Support : Manage the end-to-end recruitment process, including onboarding and performance evaluations.
  • Talent Management : Oversee onboarding, training, and performance evaluation processes.

Human Resources :

  • Onboarding and Offboarding : Ensure smooth transitions for new and departing employees and contractors.
  • Employee Satisfaction : Implement and administer employee Net Promoter Score (eNPS) initiatives to gauge and improve employee satisfaction.
  • Payroll Support : Collaborate with payroll company to process payroll-related tasks

Employee Engagement and Support :

  • Team Events : Organize team events, holidays, and manage the holiday calendar.
  • Employee Perks : Coordinate distribution of swag and other employee perks

Office Management :

  • Vendor Relations : Manage key relationships with the landlord, building engineer, janitorial staff, and other third parties to maintain and improve the office environment.
  • Office Supplies : Procure and manage office furniture and supplies.
  • Office Operations : Answer phones, process mail, and oversee office and conference room setup and maintenance.

Qualifications :

  • Experience : Proven experience in office management, HR coordination, or related roles.
  • Skills : Strong organizational and multitasking skills with attention to detail. Excellent communication and interpersonal abilities.
  • Attributes : Self-motivated, proactive, and passionate about creating a positive, faith-forward workplace environment and driving operational excellence.

Compensation and Requirements :

  • Salary : $55,000 - $65,000, depending on experience.
  • Work Schedule : 8 : 00 am - 5 : 00 pm, Monday through Friday, in the office. (Starting and ending hours can be flexible to accommodate family schedules)
  • Location : Cedar Park, TX.

A Day in the Life of an Operations Coordinator (sample schedule)

8 : 00 AM Arrive at the Office (*We can accommodate a different start time to account for varying family schedules.)

  • Ensure the office is ready for a joyful day for all. For example, check to make sure public spaces are organized, and ensure the fridge is stocked with everything that makes the team excited to come to work!
  • Connect with team members as they arrive. Try to infuse a positive start to their day. (This is a culture-enhancing role, so we want you to build meaningful connections with everyone at Ark!)
  • Review the day’s schedule and prioritize tasks.
  • Check emails and voicemails to address any urgent issues.
  • Process the day’s incoming mail, distributing it to the relevant departments.

9 : 00 AM Operational Coordination & Talent Acquisition

  • Circle up with division leaders to discuss any process improvements and provide / receive guidance on current projects.
  • Review and streamline internal processes, identifying areas for increased efficiency.
  • Review resumes and applications for open positions, shortlisting candidates for interviews.
  • Set or conduct screening calls. Making sure candidates are moving through the process efficiently. (Interviews may happen throughout the day depending on candidates' availability.)
  • Recruit candidates using a combination of digital outreach, lunches, coffees, and interviews.
  • Brainstorm creative ways to recruit top-notch talent to join our team!

12 : 00 PM Lunch Break

2 : 00 PM Financial Management & Human Resources

  • Execute billing and invoicing tasks, ensuring all invoices are accurate and sent out promptly.
  • Manage accounts receivable, following up on any overdue payments to ensure timely reconciliation.
  • Conduct onboarding and offboarding to ensure a smooth transition for all our entering and leaving employees and contractors.
  • Implement internal initiatives that gauge and improve employee satisfaction.

3 : 00 PM Internal Team Follow-up and Culture Building

  • Update division leaders on upcoming in-person interviews.
  • Plan team events and parties that promote work culture.
  • Order and distribute branded swag.

5 : 00 PM Office Management Wrap-Up / End of Day Wrap-Up

  • Manage relationships with the landlord, building engineer, and other third parties to address any facility-related issues.
  • Ensure office supplies are stocked and ordered as necessary, preparing for the next day’s needs.
  • Review the day’s accomplishments and update the to-do list for tomorrow.
  • Send out any necessary end-of-day emails or updates to relevant parties.
  • Leave the office, ready to tackle another dynamic and productive day tomorrow.
