Assistant Director of Office Operations and Program Supports

Description

This position is responsible for two main areas : (1) managing all the essential operations at the Sawyer Business School Dean’s Office and the execution of routine and new projects initiated by the Dean’s Office;

and (2) supporting SBS faculty related events, activities, and projects, as well as the initiatives at SBS programs and centers.

PrimaryResponsibilities :

1.Office Operations :

Manage the Deans’ calendars and schedule meetings and appointments as requested while helping prioritize the Dean’s time by suggesting alternatives.

Arrange any logistics for meetings and appointments.

  • Support school events by coordinating, planning rooms and food orders, and buying necessary gift items.
  • Help maintain the business deans’ contact list and Constant Contact for distributing SBS Dean’s Newsletters and other SBS high-impact documents.
  • Prepare and send out Thank-you notes to Summa level donors on a biweekly basis as part of the donor stewardship program.
  • Obtain Dean’s signatures on various documents and actively seek digital solutions to simplify office processes and procedures.
  • Submit and track contracts via Agiloft.

2.Office Functions :

  • Be a PR person and a resource to students, faculty, and guests upon entering the Dean’s Office, and develop a FAQ list and update it periodically.
  • Track the stocks of office supplies and other resources, and place replenishment orders whenever necessary by balancing the costs and needs.
  • Manage the SBS swag items by selecting appropriate items, pricing, replenishing the stocks, and suggesting appropriate items for special guests and VIPs.
  • Maintain the office reception area to a welcoming and student-centric design.
  • Be the point of contact for maintaining all the office equipment such as the printers, the water machine, and everything in the kitchen.

3.Faculty Support

  • Provide faculty with Suffolk credit card policies and applications, and track status by coordinating with the Senior Assistant Dean of Administration.
  • Help troubleshoot problems related to faculty’s credit cards and expense reports by working with the Senior Assistant Dean of Administration.
  • Provide logistic support, prepare meeting materials, and take minutes for monthly Faculty Assemblies.
  • Facilitate the FGC Chair to update the SBS Faculty Governance Manual and maintain meeting minutes and SBS town hall materials and other documents on LMS.
