WHAT YOU'LL DO

The Procurement Specialist will play an integral operations role at Jewish Family Services and will be responsible for building and managing the procurement process, from sourcing suppliers to negotiating contracts and ensuring timely delivery of good and services.

He / She / They should have a strong understanding of procurement best practices, excellent communication skills and the ability to work collaboratively with cross-functional teams.

Key Responsibilities

Procurement Management / Purchase Coordination :

  • Identify the project requirements and needs of beneficiaries.
  • Develop procurement plans and strategies to create timely and cost-effective acquisition of required items.
  • Source suppliers and vendors, negotiate contracts, and establish long-term partnerships with reliable suppliers and M / WBE / SDVOB vendors certified with NYS.
  • Monitor and maintain inventory levels for adequate stock availability.
  • Process orders for furniture, home goods, and health and hygiene items in compliance with organizational policies and procedures for large client base.
  • Oversee the order fulfillment process, tracking shipments, and ensuring timely delivery to beneficiaries.
  • Address any issues with suppliers, shipping delays, or product quality concerns, and take corrective actions as necessary.

Financial and Budget Management :

  • Keep detailed records of all procurement-related expenses and maintain transparent documentation for audits.
  • Analyze procurement data to identify cost-saving opportunities and process improvements.
  • Generate regular reports on procurement activities, costs, and inventory levels for management review.
  • Collaborate with the Finance department to ensure adherence to budget guidelines during the procurement process.
  • Plan / schedule / track procurement activities with a mindset that is considerate of agency cashflow.

Compliance and Quality Assurance :

  • Make certain all procurement activities comply with relevant laws, regulations, and donor requirements.
  • Implement quality control measures to certify the received items meet the required standards.
  • Ensure distributed goods are tracked to the applicable cost center and case.
  • Analyze and report on procurement metrics such as cost savings and supplier performance.

Collaboration and Support :

  • Collaborate with relevant stakeholders to understand their requirements and streamline procurement processes.
  • Coordinate with volunteer groups using supplies to set up housing units for individuals / families.

WHAT YOU'LL BRING

  • Bachelor's degree in business administration, Supply Chain Management, or a related field preferred.
  • Proven work experience in procurement or in a similar procurement role.
  • Experience with federal procurement standards.
  • Knowledge of procurement regulations and donor requirements for non-profit organizations preferred.
  • Strong negotiation and communication skills with the ability to build relationships with suppliers and stakeholders.
  • Excellent organizational and time-management abilities, ensuring efficient handling of multiple procurement projects.
  • Proficiency in using procurement and inventory management software is desirable.

This position requires travel between sites and therefore, you must have a reliable vehicle, valid driver's license, and liability insurance in the amount of $100 / $300K.

Also, if hired, you must produce evidence of having received the Covid-19 vaccination.

WHAT WE OFFER

  • Competitive salary range of $22.00 to $35.00 per hour, commensurate with experience and qualifications.
  • Benefits such as health insurance (Independent Health), accrued Paid Time Off (PTO) of 4+ weeks, 401k retirement plan with company match, and 13+ observed holidays.

The above pay range is a good faith estimate for the position at the time of posting. Final compensation may vary based on factors including, but not limited to, background, knowledge, skills, and abilities.
