Part-time Data and Operations Coordinator
Reports to : Director of Records and Registration Registrar
FLSA Status : Non-Exempt

Hours are Monday- Friday 8 : 00am-1 : 00pm
This position has been approved for a flexible work option arrangement. Flexible work options can be ended at any time by the College, Cabinet, and / or supervisors based on employee performance and / or as institutional needs change.
Basic Purpose :
The Part-time Data and Operations Coordinatorassists the Registrar and Associate Registrar with projects related to the Student Information System and Degree Audit.
This position requires a student and faculty-oriented, self-starting, critical thinker with keen attention to detail. The coordinator will implement and manage curriculum updates, regularly test Ellucian Colleague updates related to Records and Registration and maintain external course equivalencies databases.
The Data and Operations Coordinator will also provide administrative support to upkeep students' academic records.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
- Maintain curricular updates to Degree Audit, Curriculum Tracks, and Self-Service Student Educational Planner (SEP).
- Liaison to IT Department on database issues, including testing and functionality of new databases.
- Troubleshoots SIS issues affecting student records. Research, designs, and recommends system updates to enhance the Office of the Registrar operations.
- Implement new system changes that will advance the operational capability within Student Records and Registration.
- Evaluate college transcripts for course transfer and ttranscribes all transfer, AP, CLEP, military and PLA credits.
- Ensures the accuracy of student academic records by running various reports to determine data integrity.
- Research and reviews reference manuals and State guidelines to ensure accurate and appropriate credit transfer, including, but not limited to, the Pennsylvania Transfer and Articulation Oversight Committee (TAOC).
- Maintaining updates to the PA TRAC Course Equivalency Management Center (CEMC) database.
- Determines appropriate transfer coursework for special articulation agreements.
- Works closely with Academic Deans on course substitutions and equivalencies.
- Corresponds with higher education officials on course credits and content comparability.
- Provides backup for Records & Registration during peak periods and communicates with students via telephone and email.
Serves as a consultant for Enrollment Services, as it relates to SIS system errors related to degree audit, transcript processing, etc..
- Maintains the procedural documentation related to this position’s responsibilities.
- Other related duties as assigned.
ESSENTIAL KNOWLEDGE & SKILLS :
Education / Training / Work Experience :
- Bachelor’s Degree required. Master’s Degree preferred.
- Student Information System experience required; Ellucian (Colleague) experience preferred.
- 3-5 years of experience working at a college or university in an academic affair, advising or registration department preferred.
Specialized Knowledge & Skills :
- Proficiency in Microsoft Office Suite
