Position Overview :
The Scanning Specialist plays a crucial role in our team, providing organized and detail-oriented clerical and administrative support for the daily operations of our assigned section / division.
The ideal candidate will manage a variety of routine fiscal and administrative tasks, ensuring smooth operations and effective support for staff and management personnel.
This position is essential for maintaining efficiency and accuracy in our administrative processes.
Essential Duties & Responsibilities :
Scan and digitize physical documents, ensuring high-quality images and proper file organization.
Maintain an organized digital filing system, including naming conventions and folder structures for easy retrieval.
Review scanned documents for accuracy and completeness, making corrections as needed.
Enter information from scanned documents into relevant databases and systems accurately.
Help staff by preparing documents, scheduling meetings, and answering phone calls.
Keep calendars organized and handle travel documents, reimbursement requests, and conference registrations.
Verify costs for budget items, gather data, and enter information into system for the annual budget, ensuring compliance with financial guidelines.
Process payments and fees and maintain updated records and files.
Provide administrative assistance support to assigned departments and cover for other staff members as needed.
Perform any other tasks as required.
Qualifications :
High school diploma / GED or equivalent
2+ years of administrative or clerical experience preferred.
2+ years of scanning experience
Strong organizational skills and attention to detail.
Proficient in Microsoft Office Suite and other relevant software.
Excellent communication and interpersonal skills.
Ability to handle sensitive information with discretion.
