Position Overview : We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting the efficient operation of our Intensive In-Community services by liaising with case managers, handling referrals, and ensuring smooth staffing processes.
Key Responsibilities :
Communication with Case Managers :
- Maintain regular and effective communication with case managers to understand client needs and address any administrative concerns.
- Provide timely responses to inquiries, coordinate information, and facilitate collaboration between case managers and our team.
Referral Management :
- Process and manage the referral intake system, ensuring accurate and complete information is obtained.
- Coordinate with internal teams to schedule and assign appropriate staff for assessments and service delivery.
Staffing Support :
- Assist in the coordination of staffing schedules, ensuring proper coverage for Intensive In-Community services.
- Communicate with field staff to address scheduling conflicts, changes, and updates promptly.
Documentation and Record Keeping :
- Maintain accurate and organized records of all communication, referrals, and staffing schedules.
- Ensure compliance with Perform Care and agency documentation standards.
Meeting Coordination :
- Schedule and organize meetings between therapists and clients
- Prepare meeting agendas, take minutes, and distribute relevant information as needed.
Administrative Support :
- Provide general administrative support to the Intensive In-Community services team, including data entry, filing, and other office tasks.
- Collaborate with other administrative staff to streamline processes and improve overall efficiency.
Qualifications :
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication skills, both written and verbal.
- Proficient in Microsoft Office Suite and other relevant software.
- Familiarity with Perform Care procedures and documentation standards is a plus.
- Bilingual- English & Spanish a Plus
- Evening hours until 7pm required.
Education :
- High school diploma required; associate's or bachelor's degree in a related field preferred.
