Job Responsibilities

  • Manage operations and logistics for all PAWLA programming and communications : Schedule facilities and room rentals for all sessions throughout the academic year;
  • Coordinate calendars and scheduling with our colleagues in Wharton and CSAS; Liaison between PAWLA, CSAS and Wharton to adhere to programming and schedule;
  • Work with the Director to communicate the vision of PAWLA to the broader Penn community; Work with Director and Wharton to develop curriculum and revise content accordingly;
  • Manage the application process for the PAWLA Junior program that includes creating and vetting all candidates; Organize logistics for Wharton Junior Leadership Venture;
  • Serve as Group Leader on the Junior Leadership Venture; Coordinate 1-Day Team Leader and Junior workshops; Arrange guest speakers, VIP events and past captain panels;
  • Oversee all student-athlete communications related to the invitation, scheduling, and curriculum of the PAWLA program; Oversee attendance and participation for all sessions;

Manage Canvas online classrooms and program database for all grade levels; Attend all sessions and facilitate as needed.

Provide executive level administrative support for the Head Coach of Women’s Lacrosse and general administrative support for 3 assistant coaches (2 full-time and 1 volunteer), including but not limited to managing calendars, submitting expense reimbursements, responding to routine correspondence;

Attend games, assist with game-day logistics and operations; Manage recruiting database and communications as well as the team’s scheduling and communication platform.

Assist the Head Coach / Director with budget management for Women’s Lacrosse program and PAWLA; monitor expenses, handle ordering, requisitions, and invoicing.

Coordinate travel for coaches’, team, and prospective student-athletes; manage logistics around transportation, hotels, meals, etc.

organize and schedule official and unofficial visits, including campus tours.

Ensure compliance of lacrosse program and PAWLA with NCAA and Ivy League rules and regulations.

Qualifications

  • Bachelor of Science and 2 to 3 years of experience or equivalent combination of education and experience is required.
  • 2-3 years of related experience in administration, education, leadership, and / or coaching.
  • Previous experience in college athletics as a player, coach, and / or administrator preferred.
  • Excellent organizational skills; excellent oral and written communication skills.
  • Strong computer skills and awareness of technology.
  • Knowledge of social media
  • Career interest in either coaching or athletic administration preferred.
  • Ability to work evenings and weekends.
  • Ability to travel required.
  • Valid driver’s license.
