OBJECTIVE / PURPOSE OF THE ROLE :

The Operations Manager will oversee the smooth execution of wholesale distribution operations, leveraging vendors and third-party logistics (3PL) providers for warehousing and transportation.

Responsibilities include managing relationships with all partners, optimizing procurement negotiations and distribution efficiency, ensuring service levels, and overseeing inventory control and order fulfillment

KEY RESPONSIBILITIES :

3PL Relationship Management :

  • Serve as the primary liaison between the company product vendors, warehouse, and logistics providers
  • Negotiate service level agreements (SLAs) with vendors to ensure expectations are clearly defined and met, including accuracy, lead times, and delivery schedules
  • Conduct regular meetings with the product and 3PL provider to review performance metrics, address issues, and discuss improvement opportunities

Inventory Control & Management :

  • Coordinate with the 3PL provider to ensure accurate inventory management, stock levels, and storage optimization
  • Implement processes for inventory reconciliation and resolve discrepancies with the 3PL
  • Work with the 3PL to establish efficient inventory receiving, storage, and dispatch practices that align with company goals

Order Fulfillment & Customer Service :

  • Oversee the order processing for vendors and customers, ensuring that customer orders are processed accurately and delivered on time
  • Monitor order processing timelines and work closely with them to resolve issues such as delays or inaccuracies in orders
  • Collaborate with the customer service team to handle customer inquiries, complaints, or special requests related to order status, fulfillment, shipping, product specifications and other issues as needed

Logistics & Transportation Coordination :

  • Work with the 3PL provider and vendors to ensure efficient transportation and distribution logistics
  • Optimize routes and delivery schedules, ensuring cost-effectiveness and on-time performance
  • Monitor shipping costs, transit times, and delivery quality to ensure requirements are met

Performance Monitoring & Reporting :

  • Track and analyze key performance metrics from vendors, including costs, order accuracy, inventory levels, fulfillment times, and delivery performance
  • Regularly review data to identify areas for improvement and work to implement solutions
  • Prepare regular reports for upper management on performance and overall business efficiency

Cost Management :

  • Monitor and control costs associated with product procurement, warehousing, inventory management, and transportation services
  • Identify opportunities to reduce costs, optimize warehouse usage, and improve transportation efficiency through better negotiation and operational processes
  • Work with finance to track and forecast operations and product costs

Compliance & Safety :

  • Ensure vendors comply with all relevant regulations, including safety, environmental standards, industry-specific and audit requirements
  • Regularly review the vendor compliance with contractual terms and product / service levels, taking action when necessary to correct non-compliance

Technology & Systems Integration :

  • Ensure seamless integration of the company’s systems (e.g., QuickBooks) with vendor and client technology platforms to maintain real-time inventory and order status visibility
  • Work with vendors to troubleshoot and resolve any system-related issues impacting operations
  • Advocate for continuous improvements in technology and process automation to enhance operational efficiency

Supplier & Vendor Coordination :

  • Manage relationships with product suppliers, negotiating costs and services and coordinate with the 3PL provider for receiving and storing goods
  • Ensure that the 3PL’s receiving process is aligned with the company’s expectations for stock management and that any receiving discrepancies are quickly resolved

KEY PERFORMANCE INDICATORS (KPIS) :

  • Order fulfillment accuracy and timeliness
  • Inventory turnover and stock accuracy
  • Vendor performance (e.g., on-time deliveries, cost efficiency, product quality compliance)
  • Transportation cost per shipment and overall logistics cost reduction
  • Customer satisfaction in terms of order processing and delivery times
  • Compliance with contractual service levels and regulatory standards

Note : Opportunities for progression to senior roles, such as Director of Operations, VP of Supply Chain, or Chief Operating Officer (COO).

WORK ENVIRONMENT :

  • This in-office role also involves visiting the warehouse to assess performance and address issues when / if necessary
  • Some travel may be required to visit suppliers and / or clients
  • Other duties may be added as needed
