OVERVIEW
This position will provide support for the Tennessee Medical Associations Leadership Programs and Education Department. The Program Assistant will support the successful implementation of department initiatives, which include physician leadership programs, medical education, scholarship awards, membership activities, education committee support, and TFQPH Board support.
The Program Assistant will work collaboratively with the Education Department staff to further the mission of the TMA and is a key link in supporting the efficient and smooth day-to-day operations of the department.
PRIMARY RESPONSIBILITIES
- Provide administrative support for the Senior Director of Leadership Programs and Education
- Manage daily administrative functions for the department including drafting and distributing communications, managing mailings, preparing reports, data entry, and maintaining filing systems
- Schedule meetings, receive and route phone calls, and help manage the department project calendar
- Assist with the preparation and tracking of department invoices and manage department expense reports
- Provide committee and board support in conjunction with department staff by scheduling meetings, drafting and sending communications, making agendas, distributing materials, and preparing meeting minutes
- Assist with department meetings and events, as needed
- Assist with our Continuing Medical Education (CME) program by maintaining participant data and record collection to ensure proper compliance
- Assist the Senior Director with various fundraising efforts
- Other duties as assigned.
QUALIFICATIONS
- Two years of work experience with preference given to those with nonprofit experience
- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required. Experience with membership databases, Cvent, or Jotform preferred.
- Excellent project management and organizational skills and strong attention to detail
- Excellent written and verbal communication skills
- Excellent interpersonal skills and customer service skills
- Ability to manage multiple tasks, projects, and priorities effectively and professionally
- Some moderate lifting (up to 25 pounds) may be required on an occasional basis
GENERAL INFORMATION
- The position will report to the Senior Director of Leadership Programs and Education
- Compensation from $40,000
