Overview and Responsibilities
Summary
We are seeking a dedicated Real Estate Specialist . Supports the Real Estate Department in coordinating aspects of facilities management and response to field inquiries;
also maintenance of Real Estate Department records and databases.
Position is part time and located in the Coporate Office in Orlando.
Essential Duties and Responsibilities
- Assist location managers by promptly coordinating facility repairs, deficiencies and improvements in accordance with municipal codes, corporate standards and rules of occupancy
- Assist with alarms for locations
- Contact landlords as necessary regarding repairs, improvements, etc.
- Contact utilities to establish accounts for new locations and transfer accounts as necessary
- Coordinate new and updated signs for locations by : obtaining quotes, contacting locations regarding current signage and signage needs, contacting the landlord and obtaining approval for signs, evaluating signage needs and compliance with landlord requirements, follow-up with sign companies, coordinate installation of signs and payment for same
- Daily communication with locations to address day-to-day issues with their properties
- Inter-departmental communication as necessary to resolve issues at locations
- Issue location action notices
- Obtain multiple bids for repairs, improvements, pest control and other location needs
- Organize new databases
- Organize, coordinate, follow-through and complete projects as assigned
- Process mail, filing
- Review and comprehend applicable portions of the lease for the landlord and tenant responsibilities
- Review bids and contracts for repairs, improvements, pest control, garbage pick-up, and make recommendations
- Summarize and present updates to management
- Serve as a primary contact with landlords, property managers, with the locations, area and regional managers
- Submit capital expenditure applications and check requests for repairs, improvements and other expenditures as needed
- Update and organize real estate records and real estate facility-related databases
- Work with IT to develop real estate databases and systems
- Performs other duties as assigned
Supervisory Responsibilities
Qualifications

- Valid driver's license in state of residence with a clean driving record (when applicable for the position)
Education and / or Experience
- High school diploma or GED equivalent
- Prior experience with multi-tasking, working in a fast-paced office environment and working independently
- Proficient in Microsoft Office, including Word and Excel
Skills, Knowledge and Abilities
- Effectively communicate in English; both oral and written, with location employees, management and vendors to ensure questions and concerns are processed in a timely manner
- Familiarity with reporting in a diverse corporate office environment
- Helpful, knowledgeable and polite while maintaining a positive attitude
- Interprets a variety of instructions in a variety of communication mediums
- Maintain confidentiality and practice discretion and caution when handling sensitive information
- Multi-task along with attention to detail
- Self-motivation, organized, time-management, work in a fast-past environment and deductive problem solving skills
- Strong negotiation and interpersonal skills
- Work independently and as part of a team with minimal supervision
