Benefits & HRIS SpecialistBenefits & HRIS SpecialistThe Benefits and HRIS Specialist administers benefits plans on behalf of the organization with a focus on Leaves Management;

advises and maintains compliance for staff on benefits administration and serves as HRIS system administrator focusing on the implementation and integration of the UKG Pro system and user experience across the organization.

This position reports directly to VP of People & Culture.KEY PERFORMANCE AREASBenefits Administration (40%)Administer benefits programs, including leaves of absence.

Assists employees regarding benefit questions, administering employee benefits orientation, annual enrollment meetings, and developing / delivering the internal communications around benefit information.

Provide advice and counsel to leadership and associates on existing benefits.Ensure compliance with provisions of ERISA, HIPAA, COBRA, ACA, and other federal and local regulatory requirements.

Maintain partnerships with vendors to incorporate best practices, trends, processes, and products into current benefit program strategies.

Monitor and analyze program expenses and plan design and identify opportunities for improvement.Responsible for new hire and current employee enrollment, modification, and removal of benefits.

Provide insight and guidance to senior leadership on complex benefit issues.Support the VP, People & Culture by evaluating and comparing existing company benefits with those of other employers;

analyzing other plans, surveys, and other sources of information to ensure health and welfare plans are competitive in the marketplace.

Plan, develop, and / or participate in area and industry surveys, analyzes results of surveys and develops specific recommendations for review by leadership.

Review and analyze changes to state and federal laws pertaining to benefits and reports necessary or suggested changes to leadership.

Manages 403(b) plan including annual audit : compile and report census data for the annual non-discrimination testing.Promptly initiate a resolution for issues pertaining to benefit coverage and claims.

Audits and reconcile benefit plans and benefit-related invoices, process discrepancy reports.HRIS Administration (40%)Serve as HRIS system administrator.

Manage functionality and data integrity of HR systems, focusing on implementation and integration of the UKGPro system across the organization.

Ensure HR systems and data are efficiently utilized, maintained and available throughout the organization.Collaborate with business leaders to determine reporting needs and deliver data-driven insights to inform decision-making.

Generate and deliver a variety of routine weekly, monthly and ad hoc reports as needed for management. Prepare HR / P&C dashboard for leadership and employees, update them regularly.

Manage UKG Pro (workflow, user administration, compensation and salary administration, benefits administration, employee self-service, annual open enrollment, onboarding, recruiting, performance review process and general HR administration).

Define and manage system security standards, ensuring appropriate and proper levels of access for all users.Collaborates in the development, administration, maintenance, and modification of HRIS processes, procedures, and guidelines.

Performs group data updates, exports, imports, clean-ups, and research / report on any data discrepancies, work with the HR team and vendors as appropriate.

Assists with the release of system upgrades, including testing and distribution of communications.Manage vendor interfaces.

Assign UKGPro roles to users including basic training and troubleshooting.Collaborate with P&C team to ensure data is uploaded to electronic file management system as appropriate.

Communicate with other members of the People & Culture team to resolve system issues.Manages the day-to-day support to end users, troubleshoot issues and recommend solutions.

Perform system audits to ensure data integrity.HR Operations (20%) Act as liaison with payroll to review changes and ensure accuracy.

Maintain deduction update log for biweekly meetings with Payroll.Provide day-to-day support to employees, troubleshooting issues and recommending solutions.

Assist in the development and execution of targeted actions related to process improvement, learning, and employee development.

Work with HRBPs in managing the LMS (Learning Management System)Work collaboratively in a team environmentEDUCATION & EXPERIENCERequiredDemonstrated experience in benefits administration and leaves management.

Experience in implementation and administration of HRMS required, including the configuring, maintaining, upgrading, and troubleshooting of various HRMS applications that include payroll, recruiting and benefits.

Knowledge of all federal, state, and local regulations and compliance requirements related to employee Benefits.Strong analytical skills and ability to interpret and communicate data.

Excellent customer service skills including understanding users’ needs, offering solutions, and following up to ensure end user success.

Initiative and drive to continuously improve processes and systems.Project management skills including attention to detail, highly organized.

Proven ability to work effectively in teams and with individuals at all levels within an organization. Experience managing several tasks and priorities;
