Executive Assistant (C Suite / Executive Level) , Pittsburgh, PA 15213 ( Oakland area)
- Direct Hire as an employee of Company
- Pittsburgh (Oakland area) 15213
- In-office 3 days / week; remote flexibility 2 days / week
- Daylight Schedule , Monday Friday 8 a.m. 5 : 00 p.m.
- $ 24.00 - $ 27 .00 per hour as new employee (performance pay raises available, after hire )
MINIMUM REQUIREMENTS :
- Bachelor’s Degree in business , Communications or related field required
- Minimum 5 year s’ experience in an executive level administrative support position
- Support experience in a medical setting highly preferred
- Intermediate to Advanced Microsoft Suite proficiency in Word, Excel and PowerPoint required
- Prior experience managing multiple executive / C Suite level calendars simu ltaneously required
- Prior experience with executive meeting documentation (create agendas, meeting minutes, transcription) required
- Strong written and verbal communication skills and excellent executive support skills required
- Must be highly organized
Responsibilities :
- Expertly manage multiple executive calendars, scheduling and organizing meetings, prepare agendas, draft memos and email communications
- Process checks requests, purchase requisitions, expense reimbursements while interacting professionally with internal and external staff to expedite requests
- Provide administrative support in a confidential manner
- Process payroll for group
- Manage special projects, as needed, while adhering to deadlines and managing priorities
- Flawlessly manage multiple executive calendars and appointments including meetings, events, travel accommodations, and complete expense reimbursements when travel is complete
- Set up event rooms, coordinate media set-up for presentations and organize food requisitions
- Act as primary administrator to support meetings and events by preparing agendas for advanced distribution
