ITMAT Business Manager A (Clinical Research Center Admin)

Description

The Business Manager A for the Institute for Translational Medicine and Therapeutics(ITMAT) will provide support for daily operations, Service Centers, the Center for Human Phenomic Science (CHPS), and the Investigation al Drug Service (IDS).

This position reports directly to the Director of Finance and Operations for ITMAT.

Job Duties :

Responsible for all daily billing for the CHPS & IDS. Ensure accurate and timely billing in accordance with third party payor regulations.

This includes inputting / reviewing charges, submitting After Visit Summaries(AVS) for billing to third party payers, and ensuring all documentation is complete to support billing.

  • Preparation of monthly invoices for the CHPS & IDS
  • Preparation of monthly journals and feeder files, to recover expenses related to services provided by the CHPS & IDS, which are to be paid for by the investigators’ accounts.
  • Manage accounts receivable for all service centers and cores within ITMAT. This includes following up on payments due for external customers, updating internal accounts as needed, and maintaining the general ledger.
  • Deposit all checks related to ITMAT activities
  • Tag all equipment, and update the University Asset Management system as needed.
  • Responsible for adhering to Department, School, University and federal policies and procedures.
  • Maintain strong communication with all colleagues within ITMAT and personnel in Departments, Centers, and Institutes to build productive relationships.
  • Manage CHPS approval letters and documentation.
  • Help maintain update Prospective Reimbursement Analysis (PRA) for active CHPS protocols to ensure accurate insurance billing.
  • Gain an understanding of the research scheduling system to serve as a back up to the CHPS Patient Service Coordinators (PSC) if needed.
  • Manage CHPS utilization and no-show / cancellation statistics.
  • Enter new CHPS protocols in WebCAMP.
  • Provide the Office of Clinical Research with the monthly grouper report to help facilitate proper billing of CHPS subjects in PennChart.
  • Test monthly security / application updates in test environments.
  • Proficient use of all system applications necessary for operations, including, but not limed to BEN Financials, PennChart, WebCAMP, Vestigo, CHPS Scheduling Emailer, CHPS Study Docs Application, CHPS Intake, IDS Intake, HS-ERA, Penn ERA and Business Objects.
  • Assist the ITMAT Director of Finance and Operations and the CHPS Administrative and Financial Officer with any day-to-day administrative and financial activities when appropriate.
  • Assist with grant submissions as needed.
  • Complete required trainings and orientation.

Qualifications

  • Bachelor's Degree and 3 to 5 years of experience or equivalent combination of education and experience is required.
  • Three to five years relevant experience in an academic setting preferred.
  • Strong organizational and problem solving skills.
  • Excellent verbal and written communication skills.
  • Strong Microsoft Office skills.

Targeted Pay Range : $60,000-$70,000

This Targeted Pay Range is only applicable to this job posting. All salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
