In this role, you will be responsible for coordinating and scheduling various activities, dispatching technicians, and providing administrative support to ensure the smooth operation of our organization.

Responsibilities :

  • Scheduling and Dispatching :
  • Coordinate office operations and procedures to ensure smooth workflow and efficiency.
  • Manage calendars and ensure efficient allocation of resources.
  • Dispatch personnel and equipment to designated locations in a timely manner.
  • Monitor schedules and adjust as necessary to accommodate changes or emergencies.
  • Assist in project planning and scheduling, ensuring tasks are allocated and completed on time.

Office Administration :

  • Provide administrative support such as answering phones, managing correspondence, and filing documents.
  • Maintain office supplies inventory and place orders as needed.
  • Assist with the development and implementation of office procedures and policies.
  • Coordinate office activities and ensure adherence to deadlines and guidelines.
  • Assist in the training and development of junior staff members

Communication and Coordination :

  • Serve as a point of contact for internal and external stakeholders, communicating schedules, updates, and changes effectively.
  • Liaise with various departments to ensure seamless coordination of tasks and projects.
  • Collaborate with team members to optimize schedules and streamline processes.
  • Handle inquiries and resolve issues in a professional and timely manner.
  • Write and distribute correspondence, memos, letters, and forms as needed.
  • Respond promptly and accurately to customer queries via phone, email or chat

Data Management and Reporting :

  • Maintain accurate records and databases related to scheduling, dispatching, and office activities.
  • Generate reports and analyze data to identify trends, track performance, and inform decision-making.
  • Ensure confidentiality and security of sensitive information.

Problem-solving and Decision-making :

  • Anticipate challenges and proactively address scheduling conflicts or resource constraints.
  • Make quick and effective decisions to resolve issues and maintain operational efficiency.
  • Seek opportunities for process improvement and implement solutions to enhance productivity.

Qualifications :

  • Bachelor's degree in business administration, Logistics, or related field preferred.
  • Proven experience in scheduling, dispatching, or office administration.
  • Proficiency in computer software applications such as Microsoft Office Suite and scheduling software.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong communication and interpersonal abilities, both written and verbal.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Flexibility and adaptability to changing priorities and deadlines.
