Position Overview
Responsible for the oversight of the University Events Management operations. Manages the entire customer lifecycle starting with sales through hosting of each event.
This person's team acts as the primary liaison between customers, internal and external, and UCO departments. Works to ensure smooth operation of each conference and event hosted in our managed facilities.
Responsible for hitting revenue targets for the department.
This position has the potential to earn sales commission.
Job Duties
- Manage the events management team to ensure events’ operation success.
- Assist the Director of Events Management and the Campus Enterprises Marketing team to help promote and market our conference and events operations.
- Ensures thorough follow-up on all leads and makes every effort to convert them into successful events.
- Optimizes the use of space both in the NUC and across campus to meet the needs of both internal and external customers.
Approves all scheduling of the Nigh University Center facilities.
- Assigns work to conference consultant team based on capacity and other factors.
- Assists with recruiting, hiring, and training Events Management staff in their proper functions and responsibilities; coordinates all changes and disciplinary action.
- Assist with supervision of the department's student(s).
- Maintains positive relationships with external customers, university departments, student groups, faculty and staff.
- Provide an escalation point for customers who have questions or concerns that can’t be answered by their assigned conference consultant.
- Ensure compliance with university policies and regulations, and state and federal laws.
- Ensure events are executed smoothly and efficiently, meeting their goals and objectives.
- Provide expertise and consulting services to internal and external partners of UCO.
- Ensure timely communication with stakeholders throughout the event planning process.
- Respond to concerns of customers and university personnel and develop liaison relationships with other departments and agencies.
- Assist the Director of Events Management on an as-needed basis.
- Performs other duties as assigned.
This position can be on-call in the evenings and weekends and requires the successful candidate to maintain a smartphone on which to receive telephone calls, texts, or emails from authorized personnel.
This is an essential position and may be required to come to work when there is inclement weather.
Qualifications / Experience Required
Bachelor’s degree in job related field plus 7+ years of work experience or equivalent combination of education and experience.
Requires work experience with leading, planning, including program development and innovation, program prioritization, and assessment.
Extensive knowledge and comprehensive understanding of functional area. Appropriate professional accomplishments and credentials.
Qualifications / Experience Preferred
- Proven ability to use MS Office Suite, event planning software (EMS or other computerized scheduling software) and residential housing software (StarRez or other software platform).
- Experience working in higher education.
- Three years of experience in management and experience in a public-use building operation or special event center and / or management experience in a large student union setting.
- Strong negotiation skills.
- Excellent customer service and public relations skills.
- Demonstrated ability to work both independently and as part of a team and to work collaboratively with staff.
- Excellent organizational and event planning skills.
- Ability to work effectively with diverse constituencies.
- Initiative to organize and follow through with complex tasks to meet deadlines.
- Experience and sensitivity in working with people of diverse backgrounds and cultures.
