Job Summary :
The Account Executive is primarily responsible for supporting the General Manager and Catering Sales Managers on all sales and client activity.
He / she will provide general administrative support as needed to the GM and OP office. S / he must work closely with the GM in promoting the Company’s culture, mission and philosophy.
In addition to the primary responsibilities, this position is also responsible for on site private events, social media, marketing, and HR.
Preference will be given to individuals with an accounting background and experience in Quickbooks who can perform the Bookkeeping duties as well.

Qualifications :
- College degree preferred.
- Prior administrative experience, but not required.
- Prior catering or F&B planning, executing and / or administration experience required.
- Excellent computer skills necessary, including EXCEL, MicroSoft Word and MicroSoft Office Suite
- Ability to communicate work related information to co-workers, supervisors, vendors and clients.
- Able to work flexible work schedule in order to accommodate business levels.

Essential Job Functions :
- Assist GM and / or Sales Manager by maintaining calendar and appointments, scheduling logistical, sales and tasting meetings.
- Assist Sales Manager in responding to client questions including menu selections, logistics, rental equipment and party production.
- Handle in house questions including menu selections, logistics, rental equipment and party production.
- Assist Sales Manager by attending tastings and logistical meetings with Sales Manager when necessary.
- Conduct follow up calls on pending proposals as directed by Sales Manager.
- Conduct follow up with clients after events for feedback as directed by Sales Manager.
- Assist Sales Managers in planning, coordinating and executing events.
- Assist with initial sales inquiries and prepare proposals as needed.
- Responsible for auction prize dinner / cocktail parties that clients purchase for gala events.
- Responsible for designated Sales Manager’s party production, including :
- Preparing folders and sending booker staff sheets
- Finalize menus and distribute event orders to appropriate departments / managers.
- Prepare liquor permits
- Prepare rental orders, coordinate delivery, pickup and payment.
- Prepare detailed Final Instructions
- Order uniforms / clothing for staff when necessary as directed by Sales Manager.
- Prepare Final invoices for distribution.
- Attend and participate in all scheduled meetings and training sessions.
- Perform and complete all reasonable assignments as requested by management.
- Follow proper time keeping policies and procedures.
- Follow all sign in and out procedures for keys.
- Know and follow all Rave emergency and safety procedures.

BOOKKEEPING RESPONSIBILTIES
Established Restaurant / Catering Company is looking for energetic and organized self-starter, with strong communication skills, organization and accuracy for a Full Charge Bookkeeper and Office Manager position.

Job duties :
- Managing Account Payable and Account Receivable using Quickbooks (minimum 3 years experience required)
- Weekly Payroll using Paychex
- Recording transactions in Quickbooks Desktop
- Bank and credit card reconciliations
- Prepare checks, payment and bank deposits
- Verifying pricing on all purchases
- Managing AR collections
- Invoicing restaurant and catering customers
- Balance Daily Register receipts
- Foster favorable Employee, Customer, and Vendor Relations
- Maintain and organize all files including archiving previous years in a clearly identified, easily retrievable manner.
- Managing day to day running of the office
- Answering phone calls and responding to emails
- Ordering and managing all office supplies
- HR responsibilities such as posting ads, interviewing, background checks, onboarding, managing employee files, employee benefits, days off requests, organizing company parties, birthday celebrations etc.
Qualifications :
- 1-3 years professional experience in bookkeeping / accounting using Quickbook Desktop version
- Must have previous experience with Accounts Payable and Accounts Receivable
- Well organized with high attention to detail and accuracy
- Strong written and verbal communication skills
- Positive and Can-Do Attitude
- Responsible, trustworthy, dependable and organized work habits
- Excellent time management skills and ability to prioritize work
- Excellent interpersonal skills and ability to work independently, and as part of the team
