Responsibilities
include :
- Greet visitors and answer calls in a warmly manner.
- Assist with organizational procedures and systems for office personnel including filing, billing, accounts payable, payroll and scheduling.
- Calendar management, expense reporting, schedule conference rooms, and other administrative tasks as assigned.
- Order supplies and equipment as needed.
- Oversee the daily operations of the office.
- Plans and implements office systems.
- Procures equipment and supplies.
- Liaison between staff and management, customers and operations, taking lead in office communication and delegation between customers and employees.
- Ensure telephone calls are answered in a timely manner.
- Distribute and manage incoming and outgoing mail for business and employee's private capacity, including arranging courier requests.
- Assist finance procedures including scanning invoices; reconciling credit card statements, attending to supplier queries;
check for irregularities; escalate and solve problems.
Decide on vendors, negotiate contracts and price agreements for ordering office supplies and consumables and manage stock control.
Requirements include :
- Excellent knowledge of Microsoft Word, Excel, Salesforce, and QuickBooks.
- 5+ years of relevant work experience in a similar role.
- Proven track record of coordination, responsibility of running an office, and be the "go to" for employees.
- Background in accounting or aptitude to learn is a plus.
- Bachelor's degree preferred.
