We are looking for an Administrative Assistant to join our team in Stockton, California. In this role, you will be responsible for providing essential support to our team, managing various clerical tasks, and ensuring the smooth operation of our office.
Responsibilities :
- Carry out general administrative tasks such as filing, data entry, and document management
- Communicate with clients and team members via calls, emails, and mailings
- Schedule appointments and manage calendars for the team
- Prepare and maintain client files and documentation in compliance with firm policies
- Assist in the preparation of necessary documents as needed
- Manage office supplies and equipment
- Support the team in meeting deadlines during peak seasons
- Uphold confidentiality and compliance with all relevant regulations and policies
- Answer phone calls, take messages, and direct inquiries to the appropriate staff members
- Assist in the coordination of client communications.

- Minimum of 2 years of experience in an administrative role
- Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
- Proven ability to handle inbound and outbound calls
- Excellent customer service skills
- Experience in data entry and email correspondence
- Ability to schedule appointments efficiently
- Strong communication and organizational skills
- Ability to multitask and work under pressure
- High attention to detail and problem-solving capability
- Proven experience in handling confidential information with discretion
