Overview

The Harris Center for Mental Health and IDD is looking for a Forensic Office Administrator to join our team. The role supports committee coordination, business / financial office needs (contracts, financial record keeping, data entry to payroll software), preparing and coordinating prescriber schedules for coverage needs, and working on special projects. The position helps plan, prioritize, and organize a diversified workload with cross-functional implications across the agency related to the Adult Forensic team. It involves preparing, editing, and distributing correspondence, documents, and reports across the Adult Forensic leadership group and medical staff, and responsibilities in quality / safety, medical staff functions, financial functions, and communication functions. The role may involve managing team assignments, handling confidential material for medical peer review, and meeting established deadlines in a time-sensitive environment. The position may also involve supervising, training, and mentoring designated administrative and managerial staff within the office as needed.

Responsibilities

  • Financial / Business Administrative Functions – review and track budgets, provide contract preparation and execution, payroll functions, and other assigned tasks.
  • Collaborate with the Adult Forensic Administrator to track medical staff compensation and related spending, and to provide trends.
  • Provide administrative support for physician compensation discussions.
  • Quality and Safety Administrative Functions – work with the Forensic Medical Director and Adult Forensic Director to enhance policies and procedures and support high-quality care delivery.
  • Facilitate coordination within Adult Forensic to prepare materials for meetings; collaborate with Performance Improvement (PI) as a backup.
  • Track projects, clinical measures, and safety events with the Adult Forensic Director and Forensic Medical Director.
  • Medical Staff Functions – coordinate medical staff affairs, medical peer review activities, and staff credentialing; support medical provider onboarding, provider workflow meetings, professionalism complaints, quality concerns, and related activities.
  • Leadership and calendar management to support the Adult Forensic leadership with quality and patient safety committee meetings.
  • Communication Functions – establish open lines of communication with medical staff, healthcare providers, and organizational leaders; provide updates to relevant staff on meetings, agendas, summaries, and important news.

Qualifications

Education

Bachelor's Degree or equivalent.

  • Minimum 3 years in business development, business operations, care coordination / administrative leadership, and / or healthcare leadership experience; experience with medical staff is highly valued.
  • Ability to work in a fast-paced setting and experience working with healthcare executives in a managerial role.
  • Prior healthcare direct-care experience is a plus.
  • Knowledge, Skills And Abilities

  • Excellent verbal and non-verbal communication skills; ability to identify and solve problems.
  • Effective time management and strong organizational skills; proficiency with Word, PowerPoint, and Excel.
  • Quality improvement training (e.g., CPHQ, MPH, MS, MHS) and / or business training preferred.
