Description :

Reporting to the Assistant Director for Curricular Initiatives and Grants Management and the MD / PhD and PhD Program Director, the MD / PhD Program Manager, in collaboration with the Director and Assistant Director of the programs and faculty and staff at the Zucker School of Medicine, supports all programmatic activities related to the MD / PhD and PhD in Molecular Medicine and the MD / MS in Clinical and Translational Research.

The Program Manager is critical to the administrative team and will ensure compliance and coordination with proposed activities, student data tracking and evaluation, student appointments to the training grant, preparation of interim training grant reports, preparation of competing renewals, and student funding processes.

The MD / PhD program may be driven by the NIH-funded MSTP training grant in the future. The incumbent must use independent judgement in planning, prioritizing a diversified workload, and discretion in regular communications with students, faculty, physicians and administration at Hofstra University, the Zucker School of Medicine, the Feinstein Institutes, Northwell Health, and external partners.

This position requires a flexible work schedule, including early mornings, late evenings and / or occasional weekends to support extended student services.

Responsibilities include, but are not limited to :

  • Serves as the MSTP’s key team member for ensuring compliance with the NIH training grant proposal and all grant and program activities.
  • Tracks and evaluates student performance and promotion data as well as program evaluation data.
  • Collaborates with students and the communications staff on the program’s communication and outreach strategy.
  • Works closely with the Office of Admissions to ensure that appropriate recruitment protocols are followed.
  • Assists the Office of Student Finance with the program’s financial responsibilities, including but not limited to processing student aid and stipends.
  • Oversees the program budget and program schedules.
  • Schedules, coordinates, and publicizes all MD / PhD, MD / MS, and PhD student programming, events, and dissertation defenses.
  • Communicates and discusses contract terms with outside vendors.
  • Administers contracts in coordination with the finance team.
  • Develops and implements logistics for evaluating the effectiveness of programs, in collaboration with the director and assistant directors.
  • Serves as the first point of contact for MD / PhD, MD / MS, and PhD students with questions and issues, as needed.
  • Assists with curricular initiatives and co-curricular programming as assigned.
  • Performs other related duties as assigned.

Qualifications :

  • Bachelor’s degree required.
  • At least 2-3 years of administrative experience in a related field, preferably in higher education.
  • Superior organizational skills, verbal and written communication skills and demonstrated customer service experience.
  • Demonstrated commitment to creating an equitable and inclusive environment for all learners; experience working with and serving people from a variety of culturally diverse backgrounds.
  • Ability to exercise mature, independent judgment to maintain efficiency and accuracy while demonstrating exceptional collaborative skills.
  • Must have extensive computing experience and demonstrate proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Google suite products.

Preferred Qualifications :

  • Master’s degree in related field preferred.
  • Experience with grants administration, preferably with NIH training grants and systems.
