Medical Secretary/Medical Office Assistant

Job Summary :

1. Primary responsibility is answering incoming calls from patients, referring providers and processing referrals. Individual will answer incoming phone calls from patients and referring offices in a busy specialty practice, will require the ability to multi-task.

Requires exemplary customer service skills with a focus on providing a compassionate, efficient experience. Individual will engage with diverse populations from varying socio-economic backgrounds and educational levels.

  • 2. Fulfills clerical responsibilities as assigned that may include checking schedules, sending / receiving patient medical records;
  • obtaining lab / X-ray reports, hospital notes, referral information, etc.; completing forms / requisitions as needed; scheduling appointments;

verifying insurance coverage and patient demographics; managing and updating charts to ensure that information is complete and filed appropriately.

3. Fulfills organizational responsibilities as assigned including respecting / promoting patient rights; responding appropriately to emergency codes;

sharing problems relating to patients and / or staff with immediate supervisor.

4. Responsible for coordinating the surgeons multiple schedules including clinic appointments, surgery schedule, administrative and academic schedules.

5. Coordinates with the surgical schedulers, as necessary. Assists in obtaining all pre-surgical appointments, test results and medical clearances.

Prepares surgical packets.

6. Handles variety of administrative and clinic matters involving contact with various staff, patients, medical staff, government agencies, insurance carriers and the public.

7. Facilitates communication between the patients and surgeon.

8. Obtains insurance authorizations and pre-certifications in accordance with insurance company policies as necessary. Must be able to attain authorizations through the appropriate websites and by calling the insurance companies directly.

9. Requests, locates, sends, and receives patient medical records.

10. Maintains files and assists in establishing office systems.

11. Completes insurance, disability, and workers compensation forms.

12. Arranges appointments, meetings, and conferences.

13. Other duties as assigned.

Minimum Qualifications :

High school or equivalent and two years of directly related medical secretary / office experience. Will consider equivalent combination of education and experience.

Preferred Qualifications :

Medical assistant diploma / certification from an accredited vocational institution, or a community college course in medical assisting with one year experience in medical setting.

Work Days :

Monday-Friday 8 : 00 am - 4 : 30 pm
