We present approximately 40 events each year. Our five signature program series include : - Ten Evenings , our mainstage series, where we present celebrated authors generously sharing their research and creative process in conversational lectures.

  • New & Noted brings touring authors to Pittsburgh with their newly released titles. - Words & Pictures presents acclaimed children’s authors and illustrators to readers of all ages.
  • Made Local showcases talented local authors as well as books and writers with a Pittsburgh connection. - Poets Aloud features readings by nationally recognized poets.

Summary The Event Manager plays an integral role in a dynamic literary organization, presenting 40 events each year with our supportive, highly collaborative, and passionate staff.

The position is responsible for ticketing operations in the Tessitura ticketing system, daily ticket sales, customer relationship management, order fulfillment, serving as liaison with the organization’s accountant, and coordinate all aspects of the events productions.

Position Responsibilities Ticketing and Sales Builds all PA&L performances in the Tessitura ticketing system Performs on-line, phone, and event box office duties, selling tickets utilizing the Tessitura ticketing system.

Ensure efficient, accurate ticket sales in the Tessitura ticketing system while providing excellent customer service. Proactively manages integrity of Tessitura database.

Oversees the subscription campaign including online, phone and mail. Manages relationships with booksellers, notifying of upcoming events, book buys, and track all invoices for payment.

Is present at PA&L programs, including Ten Evenings, managing the box office at paid events. Event Production Coordination Works closely with Executive Director to facilitate the smooth operation of lecture events through clear communication, detailed schedules, and serving as liaison with event vendors, partners, and other participants.

Tracks all event details in shared spreadsheets. Schedules venues, drivers, photographer, volunteers and other event participants as needed and provides and maintains excellent communication and professional relationships.

Creates and distributes detailed itineraries, schedules, and forms of written communication for all events. Manage the event’s budgets and coordinates reporting with the accountant.

General Works closely with accountant to fulfil reports for the annual audit in a timely and organized manner Participates as an active team member collaborating to envision, plan, and execute program and marketing strategies aligned with PA&L’s mission and values.

Participates in DEAI staff development sessions. Other duties as assigned. Position Qualifications and Proficiencies The ideal candidate is eager to advance their career in a mission-focused arts nonprofit with a commitment to community, diversity, and the essential role literature plays in civic life.

They are an excellent communicator and imaginative, are curious and have great interpersonal skills, have an aptitude for computer technology, and are eager to learn new skills.

What you will need : 2 years of working experience with event management software. Excellent interpersonal skills and a commitment to superb customer service.

Commitment to community, diversity, and the essential role of literature and the arts. Strong oral and written communication skills.

Ability to learn quickly with a high degree of comfort with numbers and technology. Organized, efficient, and deadline oriented.

Works well in a collaborative, supportive, fun, and positive work environment. Proficient in Microsoft Office Suite. A passion for literary arts and community, and the ability to work collaboratively with a small, supportive staff.

Availability and ability to attend meetings, evening events, and programs outside the office. Position Competencies Planning & Organizing Customer Focus Written and Verbal Communication Detail Oriented Technical Skills Valuing Diversity Work Environment and Physical Requirements Prolonged periods of sitting at a desk and working on a computer.

Must be able to lift 15 pounds at times. Must be able to access and navigate the organizations’ events. Salary $50,000 - $55,000, plus full healthcare coverage, generous paid time off for vacation, sick time, and holidays, and a 25% match for a 403b retirement plan.

Benefits The regular hours for our 37.5-hour work week are 9 : 30 am to 5 : 00 pm. We offer 100% employer-provided Medical, Dental, Vision, and Disability Insurance plans with excellent coverage, and a 403(b) retirement plan with 25% matching from PA&L.

Paid time off includes vacation days, sick time, holidays, and personal time. Additional benefits include work-from-home Fridays and a parking pass for our Oakland office.
