The Executive Assistant is responsible for providing effective, confidential administrative support to both the President & Chief Operating Officer, and the Executive Vice President - Chief Financial Officer.

DUTIES & RESPONSIBILITIES
- Maintain Executive’s calendar, contact list, coordinate all travel arrangements and complete expense reports as required.
- Prepare correspondence, reports, and materials for publications, presentations and meeting materials.
- Setup and coordinate meetings and conferences as well as set up accommodation and entertainment arrangements for company visitors.
- Create, transcribe, and distribute meeting agendas and minutes as requested.
- Maintain hard copy and electronic filing system.
- Answer the phones. Takes messages or fields / answers all routine and non-routine questions.
- Type and distribute general correspondence, memos, etc. Proofread copy for spelling, grammar, and layout, making appropriate changes.
Responsible for accuracy and clarity of final copy.
- Scan, copy, print and fax information and documents as needed or requested. Prepare and send documents / correspondence as requested.
- Open, sort and distribute mail. Draft written responses or replies via phone or e-mail when necessary. Respond to regularly occurring requests for information.
- Hand deliver documents as requested.
- Special assignments as requested.
- Provide back-up support to other employees as needed and as directed.
REQUIRED SKILLS & ABILITIES
- Punctual, dependable, and reliable
- Possession of strong organizational skills
- Must have a high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy
- Ability to deal effectively and tactfully with a wide variety of individuals in person, via telephone and in writing
- Ability to work in a positive and cooperative manner with fellow team members
- Must possess strong attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines
- Capability to work in fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands
- Ability to work independently on assigned tasks as well as to accept direction on given assignments
- Knowledge of MS Office (Word, Excel, PowerPoint, Outlook)
EDUCATION & EXPERIENCE REQUIREMENTS
- 5+ years of executive level support experience
- Associate's Degree preferred
- Notary preferred
